About The Position

POSITION DESCRIPTION: This position is responsible for monitoring all activities pertaining to student records, registration, degree audits, graduation, grades, and transcripts. The Registrar will lead and oversee the operational and management functions of the Registrar’s office. Under the guidance of the Vice Chancellor, Enrollment Services, the Registrar is responsible for the supervision and leadership of the Registrar’s Office, its processes, and the staff. The Registrar will supervise a team of Registrar Support and Evaluations Specialists and duties will include coaching and mentoring each member on performance standards. The Registrar plays a key role in creating an office environment that engages the office staff, builds efficiency to support University needs and provides leadership for excellent student service and interdepartmental support. The Registrar will ensure compliance with institutional policies, accreditation standards, and government regulations (e.g., FERPA) as well as the processes in which support the institutional mission. This is a supervisory position.

Requirements

  • Bachelor’s degree required
  • Minimum 5 years of experience with student services and Registrar’s office required
  • Minimum 5 years of elevated experience with a Student Information System required
  • Minimum 3 years of leadership experience in a University Registrar’s office required
  • Ability to effectively lead diverse and dynamic team
  • Ability to problem solve and troubleshoot technical issues through a solutions-based approach
  • Understanding of transfer credit and accreditation policies and practices
  • Proficiency in Microsoft Excel and Word
  • Excellent verbal and written communication skills
  • Able to read, analyze, and interpret common journals and legal documents.
  • Able to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Able to effectively present information to executive management, faculty, staff, and/or students.
  • Able to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Able to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to present facts to faculty for departmental response.
  • Able to deal with a variety of information presented in oral or written formats.
  • Able to deal with non-verbal behavior in assisting with problem resolution.

Responsibilities

  • Manages the overall daily activities of the Registrar's Office
  • Oversee and implement solutions towards success in accuracy, upkeep, and safeguarding of student records
  • Oversee, understand, enforce, and communicate FERPA and other policy and privacy regulations to all university stakeholders
  • Under direction of the Vice Chancellor, reviews and evaluates the current business practices of the Registrar's Office; proposes and implements more efficient practices when needed
  • Oversee and process critical University functions such as the creation of the Academic Calendar, Academic Schedule, SAP processes, and NSLDS reporting
  • Provide management and oversight in all areas of the Registrar’s Office
  • Measure Key Performance Indicators and lead staff to meet or exceed defined metrics.
  • Hire, train, supervise and evaluate staff in the implementation of assigned area of responsibility Ensure continuous training and cross-functional training of all staff.
  • Represent the Vice Chancellor in designated instances
  • Assume responsibility for Enrollment Services in the absence of Vice Chancellor Represent the Registrar's Office on a variety of committees, professional training, conferences and conventions as assigned by the Vice Chancellor, Enrollment Services.
  • Continuously update skills and knowledge through required training
  • Seek feedback and opportunities for growth to enhance expertise and effectiveness
  • Maintain University AACRAO membership and keep up to date with training
  • Other duties as assigned
