About The Position

We are currently accepting applications for an Administrative Specialist I at the Samarcand Training Academy in Moore County, Jackson Springs, NC. for the North Carolina Department of Public Safety. Samarcand Training Academy is the primary training facility within the Department of Public Safety and provides both in-residence and commuter, basic and advanced training courses for Special Agents of the North Carolina SBI and ALE, Troopers of the North Carolina Highway Patrol, members of the North Caroling Emergency Management, members of the North Carolina National Guard, officers of Probation & Parole and Juvenile Justice, officers with the UNC System, and members of county and municipal law enforcement from across the state. Samarcand Training Academy currently consists of two campuses; the 460-acre main campus in Moore County, and the 113-acre satellite campus in Montgomery County which is the future home of the Center for Safer Schools. The main campus is made up of 22 buildings; housing staff and instructor offices; a dining facility; a gymnasium; two (2) fitness centers; an auditorium; 13 classrooms; twelve (12) dormitories with 246 student and instructor beds; a Weapons Training Simulator; Firearms Training Center with two (2) live-fire ranges and range house; a physically challenging obstacle course, and a tactical training building. Center for Safer Schools satellite campus includes multiple classrooms and offices, an entire high school dedicated to scenario-based training, a large auditorium, and several sports venues. Staff members of Samarcand Training Academy maintain and train at both campuses, and while most staff will have office space on the main campus, several will be co-located with other entities at the Samarcand satellite campus in the near future. The primary purpose of this position is: • Managing the scheduling of all training events for one or both campus locations, including classrooms, bedrooms, mat rooms, auditorium, and any other facilities as needed. • Coordinate and provide assistance, when needed, to the Training Ops Supervisor or designee for scheduling Use of Force Training events either at the Firearms Training Center or on the main campus. • Ensuring the Academic Building and classrooms are ready for occupancy, to include white board is clean and dry erase markers and eraser is accounted for in each classroom. • Break rooms and bathrooms are cleaned and fully stocked with paper products and air fresheners. • Meet with the training coordinator and provide copies of Academy rules and regulations; roster forms; cafeteria menu; and other pertinent Academy documentation. • Retrieve a copy of the student roster from the training coordinator prior to the end of the training event. • Creating rear view mirror tags for vehicle information for all in-coming students to be disseminated by the Customer Relations Supervisor at check-in/orientation and retrieve completed vehicle cards as soon as possible and enter data into spread sheet on I-Drive. • Preparing and maintaining all key cards for dormitory access for dissemination by Customer Relations Supervisor at check-in and ensuring all adequate duplicate cards are available for issuance as needed and on day of check-out. • Retrieve all key cards and meal cards from students/training coordinators; and provide student assistance for key card lock outs. • Updating and maintain all data on training events and dormitory utilization (bed nights). • Print and distribute, dormitory rosters and Microsoft Outlook training calendar to all personnel. • Coordinate on a daily/weekly basis the meal rosters with the Contract Administrator for the Food Services needs to include periodic updates for upcoming training events to provide assistance in planning utilization of resources in the cafeteria. Responsible for conducting Academy Orientation for new classes and to revise the Academy Rules and Regulations Handout for commuting students and Academy Handbook for overnight students. • Coordinate with Academy Deputy Director for Administration prior to sending out confirmation letters and correspondence to requestors. Employee must always maintain professionalism, honesty, and integrity in all situations in the presence of other state officials, campus guests, and visitors. Employment contingent on successful background check. May require travel and extended hours during peak times and mission needs.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Nice To Haves

  • Working knowledge of a program or area of specialization related to administrative schedules/registrar.
  • Working knowledge of data collection.
  • Working knowledge of information systems such as computers and/or other relevant technology (software and systems.)
  • Working knowledge in MS Excel.
