About The Position

The Refinery Mail Clerk is a key member of the contract security team that performs mail and package handling services across the bp Cherry Point Refinery. Responsibilities include managing all aspects of mailroom operations, including sorting, processing, and delivering mail and packages throughout the refinery and client offices. Duties include daily mail pickup and delivery, handling USPS, UPS, FedEx, and Amazon shipments, processing certified and priority mail and transporting outgoing mail to the post office. In addition to mailroom responsibilities, this role provides administrative support, break relief and backfill coverage for the Receptionist. The position is primarily administrative but as part of the client contract, all employees must hold a Washington State Unarmed Security Guard License, so the role will also receive cross-training on other security functions. The ideal candidate is detail-oriented, organized, and capable of working independently in a fast-paced industrial environment. Strong customer service skills, professionalism, and safe vehicle operation within the refinery facility are essential. Candidates must demonstrate good communication skills, proficiency in Microsoft 365 applications, and the ability to respond effectively in emergency situations. This is a full-time position with a 40-hour workweek, and there is potential for occasional overtime opportunities. Applicable security license and fingerprinting fees will be paid by the employer.

Requirements

  • High School Diploma or GED
  • Valid state driver’s license
  • Prior experience in mailroom operations (mail/package handling and delivery), or administrative support is preferred, or 2 years of related work experience.
  • Strong organizational skills, attention to detail, and ability to accomplish tasks under limited supervision.
  • Ability to lift and carry packages up to 50 lbs and perform physical tasks related to mail handling.
  • Ability to speak, write and comprehend the English language, and apply written and verbal policies/procedures.
  • Per regulatory requirements, a Transportation Worker’s Identification Card (TWIC) is required, or able to obtain .
  • Due to the security related duties, a State of Washington Unarmed Security Guard License is required, or able to obtain .
  • Must be able to successfully pass company pre-employment requirements that includes a drug test, criminal background check, driving abstract, and a physical/FCE.

Responsibilities

  • Pick up, sort, and distribute incoming mail and packages from USPS, UPS, FedEx, Amazon, and other carriers.
  • Conduct refinery-wide mail delivery and pickup services throughout the day and upon request.
  • Process outgoing mail, including certified, priority, and international shipments.
  • Collect and file Bills of Lading (BOLs) and maintain accurate shipping records.
  • Operate postage meters and prepare mail for daily transport to the post office.
  • Maintain organized mailroom operations and inventory of shipping supplies.
  • Safely operate a company vehicle within refinery grounds for mail delivery and pickup.
  • Respond promptly to special delivery requests and time-sensitive shipments.
  • Provide customer service to the client by following applicable safety protocols and site security procedures and, when appropriate, emergency response activities.
  • Provide daily break relief for the Security Receptionist and cover shifts during absence.
  • Maintaining workplace security within the administrative building reception lobby by controlling access.
  • Providing exceptional customer service to greet and welcome visitors and employees, check in visitors and notify appropriate escort personnel, perform security screenings, utilize an access control/badging application and complete visitor logs.
  • Operate the VoIP telephone switchboard to answer and forward calls in a professional and courteous manner.
  • Use Microsoft Office 365 applications (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
  • Perform administrative support tasks such as compiling and tracking both historical and statistical data to generate reports.
  • Operate various office equipment and complete clerical duties such as filing, photocopying, email correspondence, scanning and faxing.
  • Respond to incidents and critical situations in a calm, problem-solving manner.
  • Participate in safety, security, and workplace violence training and certifications.
  • Ability to develop and maintain professional relationships with coworkers, supervisors, site management, the client and contract company representatives.
