About The Position

The Recruiting Operations Coordinator and iCIMS Administrator provides hands-on support for day-to-day recruiting operations and applicant tracking system (iCIMS) administration. This role plays a critical part in ensuring recruiting processes run smoothly, data remains accurate, and hiring teams across the business receive timely and reliable support. The position is execution-focused and works within established processes and direction provided by Talent Acquisition leadership. This is a full-time, hourly role based in Coppell, TX, with a hybrid 3 days onsite / 2 days remote schedule. Requirements

  • Bachelor’s degree preferred, ideally in Human Resources, Business Administration, or a related field
  • 3+ years of experience in Talent Acquisition administration, recruiting operations, or ATS support
  • Hands-on iCIMS experience strongly preferred, including requisition setup, workflow management, reporting, and system support
  • Demonstrated technical aptitude and problem-solving ability, with comfort navigating systems, processes, and data
  • Strong proficiency in Microsoft Excel, Outlook, Word, PowerPoint, and SharePoint
  • Working knowledge of recruiting processes, compliance requirements, and basic employment laws preferred
  • Highly organized, detail-oriented, and able to manage multiple priorities with accuracy and urgency
  • Collaborative team player with the ability to work independently and take ownership of day-to-day execution
  • Based in the Dallas/Fort Worth area
  • Must be at least 18 years of age

Responsibilities

  • Reviews, posts, and updates open requisitions in iCIMS in alignment with established recruiting workflows
  • Serves as a primary point of contact for store teams and hiring leaders with applicant tracking system questions and basic troubleshooting needs
  • Coordinates onboarding tasks for Home Office and select Distribution Center new hires, ensuring required steps are completed accurately and on time
  • Supports new store hiring activity and high-volume recruiting needs as required
  • Assists recruiters with sourcing and administrative support when needed
  • Helps ensure recruiting processes are followed consistently across different areas of the business
  • Provides day-to-day administration support for iCIMS, including maintaining system configuration, requisition templates, workflows, and user access under established guidelines
  • Executes backend system updates in iCIMS, such as status workflows, custom fields, user permissions, and standard reporting configurations, in partnership with TA leadership
  • Supports system audits, data cleanup, and ongoing maintenance to ensure data accuracy, compliance, and reporting integrity
  • Assists with testing system changes, enhancements, and integrations prior to deployment
  • Troubleshoots system-related issues and escalates more complex items to TA leadership or iCIMS vendor support as appropriate
  • Documents recruiting and system processes and assists with updating training materials and reference guides
  • Trains new users on iCIMS navigation and standard hiring processes
  • Coordinates communication with external job boards related to requisition postings and sponsorship updates
  • Maintains Recruiting intranet and SharePoint pages to ensure content is current and accurate
  • Supports recruitment marketing efforts and related system updates as needed
