About The Position

Ensure efficient operation of the Special Programs administrative office by maintaining records and providing clerical services for the Special Programs Office.

Requirements

  • High school diploma or GED
  • Proficient keyboarding, data entry, word processing, and file maintenance skills
  • Knowledge of correct English usage, grammar, spelling, and punctuation
  • Knowledge of basic bookkeeping principles
  • Ability to maintain accurate and auditable records
  • Ability to use software to develop spreadsheets, databases, and do word processing
  • Ability to prioritize workflow to address the multiple needs of the supervisor or department
  • Ability to multi-task numerous complex administrative activities
  • Strong organizational, communication, and interpersonal skills

Nice To Haves

  • 1 year secretarial experience preferred, preferably in public education environment

Responsibilities

  • Compile, maintain, and file all reports, records, and other documents as required including purging of old documents, following state mandates.
  • Set up and maintain all Special Education student folders.
  • Uploading documents to the district platform in a timely manner.
  • Reviewing special education documents for compliance review.
  • Submitting records request and fulfilling records requests both for student transfers within the state and out of the state, along with SSI requests.
  • Maintaining copies of Special Education documents
  • Answer incoming calls, take messages, and route them to appropriate staff.
  • Handle questions and requests falling within the level of responsibility.
  • Assist staff and parents as needed.
  • Order office supplies for the department.
  • Assist in welcoming visitors and handle their requests or refer them to appropriate personnel.
  • Maintain effective rapport with general public and handle any problems or concerns in a prompt and courteous manner.
  • Sort, distribute, and deliver mail and other documents
  • Maintain confidentiality of information.
  • Follow district safety protocols and emergency procedures.
