The role of Receptionist and Incoming Mail Processor is crucial for creating a positive first impression for visitors and ensuring efficient handling of incoming mail. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Requirements

  • High school diploma or equivalent.
  • Proven experience in a receptionist or administrative role.
  • Strong communication and interpersonal skills.
  • Proficient in Adobe and Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Ability to handle multiple tasks simultaneously.
  • Exceptional customer service skills.
  • Strong organizational and time-management abilities.
  • Attention to detail and accuracy in handling mail and visitor information.
  • Ability to work independently and collaboratively as part of a team.
  • Professional appearance and conduct.

Responsibilities

  • Greet and welcome visitors with a warm and professional demeanor.
  • Manage incoming calls and direct them to the appropriate person or department.
  • Maintain a tidy and organized reception area.
  • Receive and sort incoming mail and packages.
  • Scan mail to the relevant case files or individuals in a timely manner.
  • Identify and extract relevant information from incoming mail for inclusion in the firm's calendar.
  • Coordinate with relevant departments to ensure timely updates to the calendar.
  • Maintain accurate records of incoming and outgoing mail.
  • Register and sign in visitors, ensuring compliance with security procedures.
  • Notify employees of visitor arrivals and provide necessary assistance.
  • Relay messages and provide information to employees and visitors as needed.
  • Respond to inquiries in a professional and courteous manner.
  • Provide general administrative support, such as data entry and filing.
  • Assist with scheduling and coordinating meetings.
  • Operate and maintain mail processing equipment for efficient handling of incoming mail.
  • Troubleshoot minor equipment issues and coordinate repairs as needed.
  • Assist in the coordination of outgoing mail occasionally.
