About The Position

The Front Desk Coordinator plays a vital role within the administrative team, performing a wide range of administrative functions. This position is pivotal in making a positive first impression as the initial point of contact for visitors. The role requires proficiency in general office services, effective communication with individuals at various levels, and the ability to work independently while exercising good judgment and maintaining confidentiality.

Requirements

  • 3-5 years of receptionist and/or administrative assistant experience.
  • Proficiency in Microsoft Office Suite.
  • Ability to type at least 40 words per minute, ideally 50 wpm.
  • Strong customer service skills.
  • Effective communication skills, both written and verbal.
  • Strong interpersonal and problem-solving skills.
  • Attention to detail and high level of accuracy.
  • Ability to exercise sound judgment.
  • High School diploma or equivalent.
  • Self-starter with motivation and initiative.
  • Ability to work collaboratively with all levels of staff.
  • Resourceful, diplomatic, and professional demeanor.
  • Adaptable to changing priorities and business demands.
  • Strong analytical and organizational skills.

Responsibilities

  • Answer, screen, and forward incoming phone calls.
  • Receive packages and process packing slips.
  • Greet and welcome visitors as they arrive at the office.
  • Order and maintain inventory of front office supplies.
  • Maintain office equipment such as copiers and printers.
  • Perform data entry tasks.
  • Ensure the reception area is tidy and presentable.
  • Assist in planning company lunches, parties, and events as assigned.
  • Respond to inquiries in a courteous and helpful manner.
  • Create, collect, and sort weekly timesheets.
  • Perform purchasing duties as assigned, including placing orders and entering purchase order data.
