Position Summary: The Receptionist welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries in a polite and informative manner. Directs visitors and callers by maintaining employee and department directories; giving instructions. Monitors visitor access and maintains security and emergency awareness. Provides departmental support on projects and tasks as needed.

Requirements

  • At least one year of experience in an administrative, clerical, or customer-facing role.
  • A high school diploma is required
  • You possess a strong aptitude for learning new software and are highly proficient in either Google Workspace or the Microsoft Office Suite.
  • You can speak and listen effectively, conveying information clearly and professionally to guests, clients, and colleagues both in person and over the phone.
  • You excel at interacting with people from all backgrounds, maintaining a friendly, calm, and professional presence as the first point of contact for our organization.
  • You are skilled at navigating a fast-paced environment with frequent interruptions, all while managing multiple tasks, maintaining confidentiality, and paying close attention to detail.

Nice To Haves

  • Two or more years of dedicated receptionist or switchboard experience is strongly preferred.
  • An Associate's Degree in Business or a related field is a plus.

Responsibilities

  • Maintains a professional atmosphere in the reception lobby while working cooperatively and courteously with all visitors.
  • Greets and receives visitors, determines the nature of business and answers questions or gives instructions as they approach the front desk.
  • Assists visitors with special assistance requests.
  • Serves as a liaison for employees with forwarding Rightfaxes, general business inquiries, scheduling, and provisioning of services and facilities.
  • Answers and screens incoming calls, determines intent and purpose of calls and forwards callers to appropriate personnel or department.
  • Provides callers with address, directions and other information.
  • Ensures that all customers and employees are treated with kindness and respect.
  • Provides support with projects and tasks as needed for the Office Services and Human Resources departments.
  • Maintains knowledge of corporate structure, positions and department functions and conveys this information to other team members as appropriate.
  • Performs such individual assignments as management may direct.
  • Performs other clerical responsibilities such as issuing visitor badges, setting appointments, maintaining logs, employee photo processes, flower and gift requests, etc.
  • Maintains knowledge and follows best practices of GFS security, safety procedures and physical access safeguards and conveys this information to other team members and on-site visitors.
  • Performs other duties as assigned.
