About The Position

The Receptionist serves as the first point of contact for The Siegel Group, providing professional front-office, administrative, and operational support across multiple departments. This role manages incoming calls, mail, packages, and internal coordination while supporting daily business operations. This is not a stationary, desk-only position; the Receptionist will regularly provide hands-on administrative assistance and frequently walk between offices and buildings to support projects, deliveries, inventory distribution, and departmental needs.

Requirements

  • High school diploma or equivalent required
  • Prior receptionist, administrative, or front office experience preferred
  • Strong verbal and written communication skills
  • Excellent organization, attention to detail, and follow-through
  • Ability to handle confidential information with professionalism
  • Proficiency in Microsoft Office and basic Excel tracking
  • Ability to multitask and prioritize effectively
  • Professional presence and customer service orientation
  • Reliability, accountability, and sound judgment
  • Clear and effective communication

Responsibilities

  • Serve as the primary front-desk contact by answering, screening, and routing incoming calls and visitors in accordance with internal protocols
  • Manage mail, packages, and outgoing shipments, including logging, tracking, distribution, and coordination with USPS and FedEx
  • Provide administrative and operational support to multiple departments, including check distribution, inventory tracking, supply ordering, and internal deliveries
  • Receive and document tenant, vendor, and commercial inquiries, escalating complaints and sensitive matters to appropriate leadership and departments
  • Coordinate commercial rent payments, vendor communications, and internal documentation
  • Route legal, executive, and sensitive communications according to established confidentiality and escalation guidelines
