About The Position

Your Role The Receptionist is an important member of the administrative team whose primary focus is to provide excellent office experience as the first point of contact for clients, vendors, and others visiting the office. In addition, they coordinate mail service and package deliveries including creating shipping labels, arranging couriers, and coordinating with the building’s receiving dock. The Receptionist collaborates with administrative colleagues to execute on office initiatives and assists with additional administrative support such as meeting room preparation and equipment reservation management. What You Will Do Reception Support: Meet and greet visitors in a professional, welcoming manner, offer them refreshments, and connect them with their Gensler hosts. Manage the multi-line phone system, assist callers, and direct them to the proper connection. Facilitate equipment reservations. Coordinate incoming and outgoing mail service including creating shipping labels, calling in courier requests, coordinating large deliveries through the building’s dock, and troubleshooting more complex shipment issues as they arise. Maintain a neat and presentable reception lobby. Assist with additional administrative support tasks as needed. Conference/Meeting Room Setup and Catering: Partner with Office Services to ensure conference rooms and meeting spaces are prepped and ready. Receive catering orders and direct their setup through Office Services. Proactively ensure that excellent housekeeping standards are maintained. Communicate regularly with employees requesting meeting services to verify requirements and expedite changes. Facilities Support: Report failed equipment, technology resources, furniture repair items, and other maintenance issues accordingly via internal tenant service request or to the Facilities Manager. Print and hang signage such as event posters and out of order signs. Monitor the local Office Services mailbox and respond promptly to inquiries to maintain the overall cleanliness and order/organization of the office space. Maintain the office seating chart through WISP. Your Qualifications 2 - 5 years’ experience in a customer service / concierge / front desk reception role in a busy office environment Prior experience in a fast-paced, corporate office setting. Experience in the Architecture, Interior Design, Engineering, or Real Estate Development industries is a plus. Prior experience in an administrative, customer service, or receptionist role preferred. Organized and detail-oriented with the ability to prioritize tasks. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite. Ability to multitask while remaining detail oriented. Must be a “People Person” who enjoys assisting others in their work. Must be able to lift 50 lbs. and with assistance, items weighing more than 50 lbs. The base salary range is $55,000 to $65,000, commensurate with relevant experience. In addition, standard benefits will be offered, and employees will be eligible for bonuses. Requirements
