About The Position

- The Receptionist serves as the first point of contact for visitors and clients, providing a warm and welcoming environment. This role is essential in ensuring smooth and efficient operations by managing front desk activities, including greeting guests, handling inquiries, and coordinating communication between departments.

Requirements

  • High school diploma or equivalent is required.
  • Minimum of 1-2 years of experience in a receptionist or front desk role.
  • Experience in managing multi-line phone systems and scheduling appointments.
  • Proven track record of providing excellent customer service in a professional setting.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers).
  • Ability to handle a fast-paced environment and manage multiple tasks simultaneously.
  • Excellent organizational skills and attention to detail.
  • Professional appearance and demeanor.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and the ability to work effectively with diverse groups of people.

Responsibilities

  • Greet and welcome visitors in a professional and friendly manner, ensuring they are directed to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Maintain the reception area, ensuring it is tidy and presentable, with all necessary stationery and materials.
  • Receive, sort, and distribute daily mail and deliveries.
  • Schedule appointments and manage calendars for meetings and conference rooms.
  • Assist with administrative tasks, such as data entry, filing, and maintaining office records.
  • Coordinate with facility management for any office maintenance or repair needs.
  • Support the team with additional clerical duties as required.
