About The Position

The Receptionist's responsibilities include, but are not limited to: Greets and assist guests, which could include outside guests, maintenance, employees, food deliveries and plant deliveries. Provides phone coverage for the 18 th floor, ensuring calls are routed appropriately. Coordinates scheduling the boardroom. Handles management meeting books. Acts as administrator for the boardroom calendar. Ensures orderliness of the boardroom after meetings. Issues parking validations for guests. Monitors 18 th floor cameras throughout the floor. Monitors and maintains office supply inventory and paper supply for the 18 th floor. Prepares and ensures coffee is in the boardroom Mon-Fri. Delivers newspapers to recipients of the 18 th floor and ensure orderliness around desk area. Replenishes items in areas where needed. Requests via email the visitors of the day from those anticipating guests. Maintains familiarity with company leadership, board of directors and other key stakeholders. Demonstrates company confidentiality. Maintains a positive and professional demeanor during all interaction. Completes various other administrative duties for the 18 th floor. Provides backup support to Chairman and Vice Chairman. Performs other tasks as requested or assigned.

Requirements

  • High school diploma is required
  • 5-10 years of experience is preferred in an administrative role, supporting executives or leadership teams in a corporate environment
  • Attention to detail and accuracy are required
  • Ability to juggle competing priorities, multi-task and be flexible in a variety of workplace situations
  • Proficiency in Microsoft Outlook and Word is required
  • Ability to handle confidential information with discretion and sound judgement is required
  • Must have excellent written and verbal communication skills, with the ability to interact professionally with a variety of stakeholders
