About The Position

Redwood Community Services, Inc. is seeking a detail-oriented front desk Receptionist who performs a broad range of administrative tasks and duties that support the overall functioning of the Orchard campus. Tasks can be varied and for short- or long-term duration as determined by the Executive Manager. Primary responsibilities include answering phone calls, greeting guests & clients, opening & closing office daily along with other office duties. Candidates must be bilingual in Spanish and English and possess a valid driver’s license held for a minimum of two years.

Requirements

  • High school diploma or GED required.
  • Candidates must be bilingual in Spanish and English
  • Proficient in Microsoft Office, scheduling, and billing software.
  • May work across all agency programs as needed.
  • Occasional flexible work schedule required to meet individual client needs.
  • Must possess a valid CA Driver’s License, current auto insurance, and a clean DMV printout (no more than 3 points).
  • Must pass a clear background check with CACI, DOJ & FBI.
  • CPR and First Aid Certified.
  • TB Exam and Physical at the time of employment.
  • Driving is a required function of this position. Employees must use a personal vehicle that meet all agency requirements, including maintaining liability insurance that meets or exceeds state requirements. Employees are responsible for ensuring the timely renewal of their vehicle insurance policies and providing updated documentation to the agency to remain in good standing and compliant with position requirements.

Responsibilities

  • Assists general office by answering phones, copying, data entry or other miscellaneous projects assigned.
  • Greets visitors, routes visitors to appropriate personnel.
  • Ensures visitors use sign-in log and visitor ID badges for safety & security.
  • Takes phone messages or transfers callers to voice mail boxes.
  • Ensure callers are notified if staff are in/out of the office.
  • Assists with opening & closing the office daily.
  • Scan, email, mail and photocopies documents.
  • Follows all policies and procedures as issued by the agency.
  • Assist with other special projects as needed such as bulk mailings, or special events.
  • Keeps the front lobby, office and kitchen areas tidy.
  • Creates, updates business cards & ID badges for new & existing staff as needed.
  • Ensures office supply cabinets are available, neat & orderly.
  • Monitors Outlook 365, read and respond to agency emails at the minimum of once every 24 hours.
  • May act as backup for transportation coordinator, as needed.
