About The Position

We are seeking a proactive and detail-oriented Receptionist to serve as the welcoming face of our company while supporting multiple operational and administrative functions. This role ensures the front office operates efficiently and that visitors and staff are supported with professionalism and consistency.

Requirements

  • Prior experience in a receptionist, administrative, or facilities coordination role.
  • Strong interpersonal, verbal, and written communication skills.
  • Proficient in Gmail, Google Workspace, and Microsoft Outlook with the ability to learn new systems quickly.
  • Highly organized with the ability to multitask in a fast-paced environment.
  • Professional demeanor with excellent attention to detail and discretion.

Nice To Haves

  • Experience supporting HR functions or facilities coordination.
  • Familiarity with visitor management systems and call-off tracking tools.

Responsibilities

  • Greeting and assist all visitors, contractors, and vendors. Ensure each guest signs in, receives the required PPE and a visitor badge, and returns both upon departure while signing out.
  • Manage the designated call-offline, record all employee and temporary staff absences, and communicate updates to hiring managers, line leads, and the HR team.
  • Support the interview process by welcoming candidates, notifying appropriate staff of their arrival, and ensuring they are directed or escorted to the correct location.
  • Coordinate lunch orders and deliveries, including special events and on-demand requests.
  • Facilitate employee recognition by ordering gift cards for birthdays and anniversaries.
  • Maintain the stock of cafeteria consumables (forks, knives, spoons, napkins, coffee supplies, etc.) and monitor supplies like bottled water and popsicles for building use.
  • Check and distribute physical mail and retrieve walk-in mailbox contents.
  • Schedule travel for managers/teams.
  • Receive and route Amazon and other deliveries to appropriate personnel.
  • Manage bulletin boards throughout the building, updating postings as needed.
  • Answer and direct all incoming calls via the main phone line.
  • Assist candidates and visitors while maintaining a welcoming and organized front desk environment.
  • Use Gmail, Google Workspace (Docs, Sheets, Calendar), and Microsoft Outlook for communication, scheduling, and documentation.
  • Provide general administrative support to various departments as needed.
