Requirements

  • High school diploma or equivalent required; additional qualifications in office administration are a plus.
  • Proven experience as a receptionist, front desk, or customer service role is preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple tasks simultaneously and prioritize efficiently.
  • Proficiency with office equipment (phone systems, computers, printers, etc.) and software (Microsoft Office Suite, scheduling systems).
  • Professional appearance and demeanor.

Responsibilities

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls; take messages when necessary.
  • Direct visitors to the appropriate office or personnel.
  • Manage the appointment scheduling system and update calendars as needed.
  • Perform clerical tasks such as filing, data entry, and photocopying.
  • Maintain the reception area, ensuring it is tidy and welcoming at all times.
  • Receive, sort, and distribute mail and deliveries.
  • Assist with various office administrative tasks, such as ordering supplies or maintaining office equipment.
  • Handle minor inquiries, and assist with customer service where needed.
  • Support other team members with ad hoc tasks or projects.
