About The Position

The Front Desk Receptionist serves as the first point of contact for the organization and plays a vital role in ensuring smooth daily operations. This position requires a professional, friendly, and organized individual who can manage incoming communications, assist walk-in clients, handle administrative tasks, and provide exceptional service to both internal and external stakeholders.

Requirements

  • High school diploma or equivalent required; additional education or certifications in office administration is a plus.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with general office equipment.
  • Excellent organizational and multitasking abilities.
  • Friendly and professional demeanor with strong interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Responsibilities

  • Greet and direct walk-in clients in a professional and welcoming manner.
  • Answer inquiries from the general public, as well as other public and private agencies, providing accurate information or connecting them with the appropriate person or division.
  • Direct incoming calls to the appropriate person or division promptly and efficiently.
  • Answer questions and provide basic information to callers when applicable.
  • Maintain files, records, and inventory as needed, ensuring accuracy and organization.
  • Perform data entry to ensure accurate and up-to-date records.
  • Type and send correspondence, reports, and other documents as directed.
  • Prepare and meter outgoing regular mail, ensuring timely distribution.
  • Assist with special projects and tasks as needed to support the overall function of the organization.
