About The Position

Responsible for answering the Agency's phone and greeting participants, visitors, and guests in a professional, friendly, and welcoming manner. Serves as the first point of contact for the Agency, supporting a safe, secure, and organized front lobby environment. Assists other departments with administrative tasks and overflow work as needed.

Requirements

  • High school diploma or equivalent is required.
  • Physical mobility is required for sitting, walking, standing, bending, and lifting/holding/carrying objects of up to 20 pounds.
  • Ability to enter and access information using a computer.
  • Must be able to communicate effectively with participants, co-workers volunteers and vendors in person and over the telephone.
  • Sensory requirements include exposure to varying temperatures, conversational noise levels and everyday office activities.
  • Mental requirements include the ability to handle varying levels of stress.

Nice To Haves

  • Basic skills in word processing is strongly preferred.
  • One year of experience with a multi-line phone is preferred.

Responsibilities

  • Answers callers and provides basic information about Agency functions.
  • Transfers calls to appropriate staff and take messages as needed.
  • Greets participants, visitors, and guests in a professional and welcoming manner.
  • Ensures all visitors follow established sign-in and security procedures and provides directions or assistance to appropriate offices, activities, or staff as needed.
  • Distributes printed material to callers and guests as needed.
  • Provides data entry and internet research support to other staff members.
  • Performs clerical duties as needed.
  • Maintains and organizes front desk resources, including reference materials and procedures, to ensure consistent, accurate information and adherence to established front desk, safety, and security protocols during all front desk coverage.
  • Maintains a clean, organized, and welcoming front desk and lobby area, including routine upkeep of surfaces, materials, and shared spaces, in accordance with Agency cleanliness, safety, and infection control standards.
  • Creates and maintains tax appointment schedule.
