About The Position

This is a temporary Receptionist position within the Community Pathways Program (CPP), scheduled to last until September 30, 2026. The role involves comprehensive administrative support, including answering phones, scheduling appointments, and providing program information to applicants. Key responsibilities include coordinating administrative activities, managing information dissemination, and handling calls and messages professionally. The receptionist will conduct efficient, interactive intake services for CPP applicants via phone, face-to-face, or mail, determining program eligibility based on 125% Federal Poverty Level (FPL) standards. Other duties include timely and accurate entry of program applications into the electronic data system, proactive responses to prevent disconnections within 48 hours, income verification, assisting with benefits processing, and making referrals to partner programs. The role requires teamwork, attendance at training and meetings, and maintaining accurate, confidential client files for FPL cases, along with performing special projects as assigned.

Requirements

  • High school diploma required.
  • Minimum of two years of administrative experience in an office environment, including managing a multi-line phone system.
  • Demonstrated ability to work independently within established policies, procedures, and guidelines.
  • Strong interpersonal and communication skills, including the ability to effectively de-escalate challenging or sensitive client situations while maintaining professionalism in a high-volume, client-facing environment.
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook), with the ability to accurately enter data into program systems.
  • Ability to work flexible and irregular hours, including on-call evening hours as needed.

Nice To Haves

  • Associate or bachelor’s degree, or a minimum of two years of experience in CPP or similar community service programs, preferred.
  • Case management experience is a definite plus.
  • Bilingual in English and Spanish (verbal and written) preferred.

Responsibilities

  • Answer phones, schedule appointments, and provide program information to applicants.
  • Coordinate and perform administrative activities and support by storing, retrieving, and integrating information for dissemination to staff and clients, answers and relays calls and messages, with follow-up to recipient in a professional manner.
  • Provide efficient, interactive intake services for CPP by phone, face-to face or by mail to determine program eligibility using 125% FPL standards.
  • Enter program applications into the CPP electronic data system timely and accurately.
  • Provide quick, pro-active response to prevent disconnections, adhering to respond within 48 hours from time of request per written crisis policy.
  • It is required to use a multi-line phone system and a variety of office equipment, such as fax machines, photocopiers, scanners, iPads, computers.
  • Verify earned and unearned income, including wages, child support, TANF, Social Security, Unemployment Insurance, etc.
  • Respond to applicant questions, assist with verification, and carry out benefits processing in a timely manner.
  • Make referrals to our partners program for CPP participants.
  • Work as a team member to make CPP program run as efficiently as possible.
  • Attend training, meetings and perform other duties as assigned.
  • Provide efficient, interactive intake services for the FPL (Federal Poverty Level Income) face-to -face or by mail to determine program eligibility.
  • Follow up with clients, partners, and maintain accurate, confidential client files for FPL cases.
  • Performs special projects and other related duties as assigned.
