Responsibilities

  • Greet visitors, direct them to the appropriate department, and provide general assistance as needed.
  • Answer and route all incoming calls to the proper personnel or department.
  • Maintain customer and employee refreshment areas, including coffee, bottled water, and snack supplies.
  • Monitor and replenish office, cleaning, and printer supply inventories and place orders as needed.
  • Manage incoming and outgoing mail, including distribution and FedEx shipments (titles/MCOs).
  • Oversee and maintain logs for company credit cards and fuel cards, ensuring receipts are collected and expenses properly documented.
  • Scan and submit various invoices, receipts, and checks for accounting and banking purposes.
  • Prepare and process cash deposits for multiple company divisions.
  • Provide invoices to customers and attach tax exemption certificates to customer accounts as required.
  • Maintain organized records for bookkeeping, disbursements, and vendor documentation.
  • Print and mail customer statements for all locations.
  • Maintain and update company phone and extension lists.
  • Assist accounting, sales, service, and leadership teams with projects and administrative tasks as requested.
  • Support company events such as meetings and luncheons, including organization and supply coordination.
  • Assist with audit documentation and vendor/customer record updates as needed.
