Requirements

  • Multi-line phone system experience required with computer integration preferred.
  • Personable with a positive customer service attitude and a professional and polished appearance and demeanor.
  • Strong attention to detail and ability to confidently problem solve.
  • Proficiency with MS Office products needed
  • Ability and willingness to learn other software programs used by the Firm.
  • Ability to work both independently and in a team environment.
  • Ability to maintain confidentiality at all times.
  • Must be able to lift up to 30 pounds and move chairs for room set up.
  • Position requires extended periods of sitting (3-4 hours at a time) with limited ability to move about freely.
  • Position requires regular daily attendance and arrival to office on time.

Responsibilities

  • Greets and directs guests entering and leaving the Firm.
  • Operates a multi-line phone system, handling incoming, outgoing, interoffice calls and paging.
  • Update firm calendar with specific firm events and meetings.
  • Maintains conference room schedule and coordinates all Conference Center/conference room special needs with the Hospitality Coordinator.
  • Ensures compliance with our security requirements by maintaining visitor log with visitors' names and companies represented, provides a visitor's badge and informs proper employees of the visitor's arrival.
  • Provides beverage services for meeting attendees.
  • Validates visitor parking requests.
  • Reset conference rooms after each meeting.
  • Maintains the reception lobby area as needed and/or requested.
  • Maintains a petty cash fund; completes a monthly reconciliation with proper accounting for all funds and receipts (as needed).
  • Other Administrative tasks as assigned.
