Requirements

  • Minimum 1-2 years office experience required.
  • Ability to handle a Microsoft Teams phone system.
  • Proven self-starter with strong time management skills, ability to multi-task and prioritize, highly organized, strong attention to detail.
  • Excellent and accurate communication skills, both verbal and written.
  • Interpersonal skills with flexibility to work with a variety of team members to meet aggressive project schedules.
  • Proficiency with Microsoft Office products, including Teams, Outlook, Word, and Excel.
  • Ability to be discreet and professional at all times.

Nice To Haves

  • Knowledge of Deltek VantagePoint software, a plus.
  • Knowledge of the Consulting/Engineering industry, a plus.

Responsibilities

  • Serve as the face of the company, ensuring all guests, clients, and employees receive a warm, professional welcome either in person or over the phone
  • Maintain a polished and inviting front office and reception area that reflects the company’s brand and values
  • Uphold a positive and professional demeanor, reinforcing the company’s reputation through every interaction
  • Manage and enhance visitor experience, including check-in procedures and hospitality offerings
  • Ensure that all office communications, signage, and materials align with the company’s brand identity and values
  • Support internal branding efforts by maintaining a cohesive and professional office environment
  • Assist with employee engagement initiatives, internal communications, and company events to strengthen workplace culture
  • Help coordinate marketing or promotional materials as needed for company guests or meetings
  • Proactively identify and address operational inefficiencies, ensuring smooth day-to-day office functions
  • Oversee office, kitchen supplies and inventory, ensuring cost-effective and timely replenishment
  • Manage vendor relationships and contracts to optimize office services (cleaning, IT, supplies, maintenance, etc.)
  • Assist leadership with administrative support, scheduling, and coordination of meetings and events
  • Support Marketing functions, including Intranet management, communication, review of documents, monitoring websites for new business opportunities, and updating key marketing databases
  • Support departments through document management and review and miscellaneous administrative tasks
  • Collaborate with other CobbFendley office to ensure consistency across all locations
  • Ensure compliance with office policies, security procedures, and workplace safety regulations
