About The Position

The Receptionist is the first point of contact for residents, families, visitors, vendors, and staff at the skilled nursing facility. This role is responsible for creating a welcoming and professional environment while ensuring the safety, security, and confidentiality of the facility. The Receptionist provides clerical and administrative support and plays a key role in communication and customer service.

Requirements

  • High school diploma or GED required
  • Previous receptionist or customer service experience preferred; healthcare or long-term care experience a plus
  • Strong communication and interpersonal skills
  • Ability to multitask and remain calm in a fast-paced environment
  • Proficiency with basic office equipment and computer applications (phones, fax, copier, email)
  • Professional appearance and demeanor
  • Excellent verbal and written communication skills
  • Strong customer service orientation with compassion and patience
  • Ability to maintain confidentiality and exercise discretion
  • Dependability, punctuality, and reliability
  • Ability to work independently and as part of a team
  • Ability to sit or stand for extended periods

Responsibilities

  • Greet residents, family members, visitors, and vendors in a courteous and professional manner
  • Answer and route incoming phone calls promptly and accurately
  • Monitor and enforce visitor sign-in procedures in accordance with facility policy
  • Communicate visitor arrivals to appropriate departments or staff
  • Maintain resident and facility confidentiality in compliance with HIPAA regulations
  • Provide general information regarding facility services, visiting hours, and policies
  • Receive, sort, and distribute mail and deliveries
  • Manage the resident trust accounts
  • Assist with clerical tasks such as copying, filing, data entry, and correspondence
  • Notify appropriate personnel of emergencies, concerns, or unusual situations
  • Maintain cleanliness and organization of the reception area
  • Schedule the part-time receptionists
  • Take photos of all new admissions and enter them into the electronic medical record
