About The Position

At Cole Pediatric Therapy, we are dedicated to providing exceptional care and support for children and their families. We pride ourselves on creating a professional, welcoming, and culturally sensitive environment for both clients and staff. We are seeking a Bilingual Receptionist / Interpreter fluent in English and Spanish. This role combines front desk reception duties with occasional interpretation/translation services to support our clients and staff. You will report to the executive office manager for receptionist duties and responsibilities.

Requirements

  • Bilingual: English and Spanish (spoken and written fluency required).
  • Strong communication, reading, comprehension, and writing skills in both languages.
  • Knowledge of interpreting techniques and cultural/linguistic considerations.
  • Ability to multitask in a fast-paced environment and handle confidential information.
  • Previous experience in reception, customer service, or healthcare setting preferred.

Responsibilities

  • Greet clients and provide necessary documents during evaluations or therapy.
  • Check patients in using our Scheduler system and communicate with therapists as needed.
  • Collect and process co-pays according to standard procedures.
  • Answer phone calls professionally and redirect as necessary; follow up on messages.
  • Place appointment reminder calls for evaluations, treatments, and re-evaluations.
  • Maintain front desk metric boards, cleanliness, and order in waiting areas and office spaces.
  • Process incoming faxes and manage client cancellations in Raintree Scheduler.
  • Communicate changes in Medicaid or commercial insurance coverage to appropriate team members.
  • Participate in daily administrative meetings and adhere to HIPAA guidelines.
  • Translate documents, letters, therapeutic instructions, registration information, consents, and other materials between English and Spanish.
  • Facilitate accurate communication between clients, families, and staff, considering cultural and linguistic differences.
  • Provide interpretation in clinical settings or approved home care settings as required.
  • Assist with Welcome Packets for new clients (Medicaid and Insurance).
  • Support compliance documentation, including food logs and other records.
  • Help with advertising programs, rescheduling appointments, and mailing/faxing reports.
  • Maintain professionalism, punctuality, and respect toward clients and staff.
