Requirements

  • High school diploma/GED.
  • 1-2 years prior experience maintaining a filing system
  • 1-2 years’ experience performing general office duties
  • 1-2 years’ experience using Microsoft Office Operation Systems and Applications
  • 1-2 years Customer Service helpful.

Responsibilities

  • Assisting clients in finding their way around the office by giving them direction to where they need to go.
  • Announcing clients as necessary by calling/beeping the provider to let them know the client is in the building.
  • Maintaining a professional office environment and promote a positive image for the agency by smiling and greeting all people that enter the building.
  • Helping maintain workplace security by issuing, checking and collecting signatures and maintaining visitor logs.
  • Assisting with a variety of administrative tasks including copying, faxing, taking notes.
  • Preparing meeting and training rooms by making sure the rooms are organized and ready to use.
  • Answering phones in a professional manner. This includes handling incoming calls and other communications as well as voicemails and routing calls as necessary.
  • Sorting and distributing mail daily as well as Fed Ex or UPS drop off/pick up as needed.
  • Scheduling appointments with appropriate providers. Calling to remind patients of appointments.
  • Maintaining office equipment and office supplies.
  • Creating, maintaining, and entering information into EHR by opening, closing, and processing referrals and laterals as needed. Printing records per requests. Maintaining efficient and timely documentation in the EHR.
  • Scanning and uploading documents daily to EHR.
  • Collecting of copays and payments from clients and completing the Cash Sheet and printing receipts. Submitting credit card payments into software and emailing Receipts to Accounts Payable .
  • Reporting of clients that are delinquent in payment of account. Informs clients of payment expectations.
  • Reviewing daily schedule for past balances and/or anything needing updated Gosh Enrollments, jail etc.
  • Point of Entry for client enrollment in program
  • Quarterly chart audits.
  • Complies with Confidentiality and protected health information rules per company policy.
  • Traveling to other Recovery and Wellness locations for coverage if needed.
  • Performing other duties as assigned.
