Position Summary: The Receptionist/Office Coordinator role is the first point of contact for employees and visitors, the face of the company, and as such displays a professional, positive, energic and helpful demeanor. Situated at the Front Desk of Vericel's Cambridge location, this role will provide exceptional reception and administrative support to employees, outside visitors, vendors, and clients. Schedule: This position is in-office Monday-Friday.

Requirements

  • College degree preferred plus 1+ years of administrative experience OR High school diploma plus 4+ years of administrative experience.
  • Expert with Microsoft Office 365 specifically Excel and PowerPoint.
  • Excellent customer service and written/verbal communication skills.
  • Experience in a professional office environment.
  • Demonstrated use of discretion, professionalism and courtesy.
  • Ability to sit for an extended period of time.
  • Ability to occasionally lift up to 25 pounds.

Nice To Haves

  • Experience working with Concur to schedule travel and/or manage expense reports.
  • Experience with coordinating large group or companywide events/meetings.

Responsibilities

  • Oversee all front desk activities for Cambridge location such as greet visitors and notify staff of arrivals. Work with leader to ensure there is always coverage at the front desk.
  • Support the SVP Operations and site head with various administrative tasks, can include scheduling meetings, processing expenses, planning large meetings or events and other tasks.
  • Answer Vericel's main phone line and direct callers to appropriate departments. Also includes addressing calls directed to work cell phone. Field emergency calls from within the site according to established protocols.
  • Coordinate with building security staff to provide employees appropriate guidance or direct visitors upon arrival.
  • Update TV monitors throughout the facility.
  • Provide parking pass validations in accordance with established protocols.
  • General business administrative tasks for facility such as: sort and distribute incoming mail or packages, administer Wishlist Recognition program, coordinate and or distribute food deliveries for business purposes, monitor and respond to Front Desk email requests.
  • Work with facilities team to manage office supplies. Proactively manage proper inventory and costs accordingly.
  • Be active participant and help plan/coordinate employee engagement events for the site.
  • Support HR creating a seamless candidate and new hire experience, via interview activities, onboarding processes, first day guidance, name tags, badges, etc. as needed.
  • On quarterly basis, work with SVP to schedule Cambridge All Hands meetings; coordinate audio-visual and technology requirements, order catering services, tables, chairs, etc., as needed.
  • Other administrative responsibilities as required.
