About The Position

We’re seeking a proactive and detail-oriented receptionist to help drive the success of our NYC corporate office. The Receptionist is the first point of contact for visitors and callers, responsible for creating a welcoming environment and providing administrative support to ensure efficient office operations. In this role, you’ll be the central force behind a welcoming workplace, ensuring day-to-day operations run smoothly.

Requirements

  • Detail-oriented, organized, and demonstrated ability to manage multiple priorities
  • Proficiency in Microsoft Office, strong knowledge of Excel
  • Proactive with a strong sense of urgency
  • Experience in office management, employee experience, operations, or related roles
  • A genuine passion for creating great workplace experiences
  • Strong communication and interpersonal skills
  • Available to work onsite from our NYC office
  • 0-3 years’ experience in an office support role
  • Must be able to lift 25 pounds
  • Must be able to lift and bend to restock pantries and supply room.
  • Must be able to be on your feet throughout the day, walking around two floors to ensure the space is clean and tidy and comfortable.

Nice To Haves

  • Previous experience working with SAP Concur or other travel system
  • Experience with corporate relocation preferred
  • Bilingual in English and Spanish preferred

Responsibilities

  • Manage the day-to-day operations of our 2 floor NYC office to ensure a clean, comfortable, and inviting workspace.
  • Act as the first point of contact to observe and troubleshoot facilities-related issues
  • Track and manage office-related budgets, orders, and inventory
  • Greet and assist visitors in a professional and friendly manner.
  • Answer, screen, and route incoming phone calls promptly and courteously.
  • Maintain a clean and organized front desk and reception area.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Schedule and confirm appointments, meetings, and conference room bookings.
  • Maintain visitor logs and issue security badges as required.
  • Manage conference room bookings and general office scheduling
  • Assist with administrative tasks such as filing, data entry, and document preparation.
  • Assist with office engagement activities such as lunches, and special events
  • Monitor and order office supplies to ensure adequate inventory.
  • Coordinate with internal departments to support daily operations.
  • Relocation support including sourcing and reserving housing (temporary and long term) for employees who relocate
  • Book travel for larger meetings and events
  • Maintain conference rooms and shared spaces such as supply closet and kitchens.
  • Uphold confidentiality and comply with company policies and procedures.
  • Assist with special projects and administrative tasks as needed
