Verifies client’s insurance and basic information, collects and enters co-pays, notifies staff members of visitor arrival; maintains security and telecommunications system, performs other clerical duties as assigned. Must have a working knowledge of Microsoft Office Suite.

Requirements

  • Must have a High School diploma or GED with 3+ years clerical experience.
  • Must have a working knowledge of Microsoft Office Suite.

Responsibilities

  • Greet and welcome guests and clients, ensure they sign-in/are checked-in, verify insurance and basic information is correct in the electronic care system, and update information if needed.
  • Alert appropriate staff members of guest and/or client arrivals in a timely manner.
  • Answer incoming calls using professional greeting that identifies that they have reached “Envision Unlimited Mental Health”, transfer/forward calls to appropriate staff members and provide correct contact information for other departments as needed.
  • Return messages, when appropriate, within 24 business hours.
  • Assist with calling clients to confirm appointments.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Collaborate with Intake Coordinator to ensure the completion of paperwork, financial registration, and other necessary documentation for clients arriving for Intake.
  • Maintain MH electronic care record’s document management by scanning client information and saving it to appropriate location as needed
  • Responsible for locking and unlocking building, setting/disarming the alarm (schedule varies).
  • Ensure reception area is tidy and presentable, with all necessary stationery and office supplies (e.g. pens, forms and brochures).
  • Other duties as assigned.
  • Perform duties and functions in accordance with all agency policies.
  • Maintain a professional attitude in conduct and in interactions with other staff, clients and outside personnel.
  • Maintain a clean and neat appearance and follow Envision Unlimited’s dress code.
  • Demonstrate conduct and behaviors consistent with agency mission and policies.
  • At all times, maintain a professional image and role as a representative of Envision Unlimited.
  • Adhere to all the Policies and Procedures of Envision Unlimited.
  • Inform Supervisor of any condition that impacts the safety and wellbeing of clients served. Seek assistance as necessary to mitigate risk. Seek out Supervision as needed
  • Maintain confidentiality according to the Illinois Mental Health code and Confidentiality Act at all times.
  • Respond sensitively to the diverse populations of the agency, including persons with disabilities and/or mental health issues.
  • Attend all meeting and trainings as requested by the Director and/or supervisor.
  • Arrive to work, meetings, and all work-related functions on time. Report any absence, tardiness, or schedule change to supervisor as soon as possible. Maintain appropriate attendance record using Paylocity.
