About The Position

Provide front desk and general office support through a variety of clerical activities and related tasks. Responsible for building access, answering incoming calls, greeting guests, and administrative support for the Child Development Program and Senior Leadership teams.

Requirements

  • High School Diploma/GED
  • Minimum of one year experience in as a receptionist, administrative assistant or customer service
  • Computer knowledge in basic word processing programs such as Microsoft Excel, Word, and Google Drive applications
  • Must be able to lift, push, and pull a minimum of 50 pounds
  • Ability to bend, lift and reach from floor to chest level
  • Sitting for extended periods of time
  • Ability to look at a computer screen for long periods of time
  • Professional Attire is required.

Responsibilities

  • Greet visitors in a friendly and professional manner; determine their needs and notify the person/department being visited
  • Manage building access, and ensure that sign-in/out sheets are maintained accurately
  • Answer incoming calls promptly and courteously; transfers caller to appropriate staff member; take complete and accurate messages as needed and distribute messages in a timely manner
  • Manage and maintain phone system, including setting up voicemails and updating the phone list as needed
  • Maintain CDP student vaccination records
  • Assist with classroom coverage & closing duties as needed
  • Maintain substitute teacher background checks daily
  • Maintain lobby area signage
  • Maintain first aid supplies for classrooms and for Frazer Center, ensuring compliance with regulatory requirements
  • Prepare folders for weekly tours
  • Create and maintain staff ID badges and staff mailboxes
  • Order office supplies and Frazer Center shirts as needed
  • Maintain Master Calendar for CDP activities
  • Assist with the planning and implementation of CDP extracurricular activities and special events, including but not limited to picture days and the annual Book Fair
  • Maintain a tidy appearance of the reception and lobby area.
  • Track illness and incident reports
  • Notify parents of incidents or illness via phone or message
  • Update lobby area seasonally
  • Perform other duties as assigned
