About The Position

The Office Coordinator plays a critical role in ensuring daily operations run smoothly. This position combines office management, executive support, event coordination, and agent administrative support. You will work closely with the Director of Operations and the leadership team to support internal systems, team organization, and company initiatives. Requirements

  • 2+ years of office administration or coordination experience
  • Strong organizational and time-management skills
  • Excellent communication and follow-through
  • Comfortable managing multiple priorities
  • Proficient in Microsoft Office or Google Workspace
  • All applicants must be able to work 9 AM to 6 PM Monday through Friday in the office

Nice To Haves

  • Real estate experience is a plus, but not required

Responsibilities

  • Manage and monitor email inboxes
  • Answer and direct incoming calls and messages
  • Maintain office inventory and order supplies
  • Pay invoices and manage vendor accounts and subscriptions
  • Reconcile office-related expenses
  • Organize meeting spaces and book conference rooms
  • Manage office mail and deliveries
  • Coordinate and maintain leadership calendars
  • Assist with scheduling travel and appointments
  • Prepare materials for meetings, planning sessions, and quarterly reviews
  • Take organized notes during leadership meetings
  • Update team meeting slides and internal materials
  • Support annual planning and company initiatives
  • Coordinate logistics for in-person and virtual events
  • Prepare materials for team meetings and coaching sessions
  • Support onboarding and administrative needs for agents
  • Assemble listing packets and open house materials
  • Assist with recruiting administrative support
  • Update weekly KPI scorecards
  • Maintain internal systems and user accounts
  • Track and log expenses
  • Assist with award submissions and recognition applications
