The QA/Licensing Associate supports the company’s mission and is part of the Company QA and Licensing Department. This position assists with quality, process improvement and licensing activities which may include accreditation and licensing support, departmental audits, process improvement projects, quality studies, CQI (continuous quality improvement) process training of staff, prevention program coordination, care coordination initiatives, satisfaction survey coordination and follow-up[JM1] , assists in tracking and trending of quality related events and adverse incidents. Assists in external and internal audits by outside entities (i.e. PBMs, BOPs, accreditation organizations etc.).

Requirements

  • 1-2 years of experience in a quality, licensing, and process improvement and/or a regulatory compliance role preferred.
  • 1-2 years of experience in a home infusion, specialty pharmacy, or similar healthcare setting.
  • Proficient in all Microsoft Office software programs required. Advance Excel skills preferred.
  • Strong planning, organizational and time management skills with the ability to multi-task and prioritize.
  • Ability to maintain confidentiality and exercise discretion of sensitive information.
  • Strong analytical skills and highly detail oriented.
  • Self‑motivated with the ability to track multiple tasks/projects and follow through independently.
  • Excellent communication skills including verbal, written and presentation.
  • Have a positive “can do attitude”, outgoing, engaging and energetic.
  • Team player with excellent customer service skills.
  • You must be able to pass a drug, background screen and be eligible to work in the U.S.

Nice To Haves

  • Knowledge of the Pharmacy dispensing software (i.e., NewLeaf) including reporting functionalities preferred.
  • Advance Excel skills preferred.

Responsibilities

  • Assist in performing quality monitoring activities for pharmacy compliance with state/federal requirements, ACHC, NABP, URAC standards and any other regulatory agencies.
  • Assist in all activities related to Board of Pharmacy inspections, and ACHC, NABP, and URAC on-site surveys including P&P review, assembly of P&P binders, review of standards and regulations, summary of findings, preparation of reports, and responses to those regulatory agencies.
  • Work closely with the Pharmacy Licensing and Credentialing Lead to monitor and research pharmacy law updates/newsletters, compliance requirements, and regulatory changes.
  • Assist the Pharmacy Licensing and Credentialing Lead in monitoring staff licensures to ensure they are current, and in maintaining individual and state license postings in the department.
  • Work with management to identify and evaluate the organization’s regulatory risk areas related to accreditation, state and federal requirements and provide input to effectively communicate evaluation and recommendations.
  • Conduct or assist with independent random and scheduled monitoring activities and audits for all departments to ensure compliance with outside regulatory and legal requirements as well as internal policies and bylaws.
  • Review and recommend changes to department policies and work instructions to maintain the quality management system and the integrity of departmental processes.
  • Assist leadership with incident investigations and the preparation of required documentation for regulatory compliance.
  • Provide feedback and recommendations to managers with quality monitoring variances and document corrective action and follow up.
  • Provide documentation for discussion at meetings and prepare minutes with follow-up action items.
  • Support the development and implementation of the PI Program as it pertains to all departments.
  • Review quality assurance results and make recommendations for corrective action when issues are identified.
  • Assist in the identification of goals and related client/patient outcomes as well as reporting of activities and outcomes for the PI program for all departments.
  • Help prepare statistical reports outlining department error rates/trends for quarterly review at the PI Committee meeting.
  • Work within the Incident Tracker Software, and assist in maintaining QRE and licensing records.
  • Work with management to help ensure corrective action plans are documented, logged, and followed.
  • Serve as a resource to staff for questions related to documentation requirements and quality monitoring activities.
  • Assist the management team in identifying areas of continuing education and help coordinate ongoing education programs relating to compliance, quality, licensing, accreditation and state/ federal requirements.
  • Maintain a friendly, professional, caring attitude towards customers and co-workers in all forms of communication.
