Job Summary: Under direction of the QC Laboratory Manager the QC Lab Admin is responsible to understand, document, and distribute Product Quality Data originating from plant production, product testing laboratory, and outside laboratory test results, coordinating outside laboratory testing, manage specialty product customers’ production retain samples and requests for label specification testing, assist Laboratory Supervisor in daily laboratory office functions.

Requirements

  • Associates degree preferred; minimum two years of experience in inventory management systems, Excel, Word and PowerPoint.
  • Must be able to see, sit, stand, bend, and reach.
  • Ability to operate general office equipment (computer, phone, calculator, copier, etc.) and lift up to 35 lbs. required.
  • Must adhere to General Manufacturing Practices (GMP) and wear appropriate PPE when in the Manufacturing plant and exposed to loud noise, hot/cold temperatures and wet floors.

Responsibilities

  • Ensure data is complete and accurate for Quality Department filing.
  • Review, compare to spec., and process production batch record specifications for non-fat dry milk, specialty products, butter, powder, evaporated, and sweetened condensed milk.
  • Report out of spec. results for possible retest or verification, prepare for scanning to the appropriate network directories and submit records to Quality for FDA packets and correct grading.
  • Collect and review plant churn and bagging operation records, communicate verification discrepancies, scan records to the appropriate network directories and submit to Quality for correct grading.
  • Review laboratory daily logs and records for complete and accurate data, report incomplete or out of spec results to supervisors.
  • Scan and file lab logs electronically to the appropriate network directories.
  • Assist in locating and retrieving records
  • Process end of day tank log information for the Manufacturing Coordinator when absent.
  • Perform load out inventory management and corrections.
  • Maintain laboratory technician load out training materials, troubleshooting guides, and provide feedback in effort to maintain a minimal error rate.
  • Communicate sample and testing requests as needed with customers, coordinate customer retention sample shipments and outside laboratory testing.
  • Assemble and ship samples, maintain a sample collection and distribution reference book.
  • Monitor Manufacturing schedules and shift reports for laboratory sample collection and communicate collection requirements to appropriate parties.
  • Post new production schedules when updated.
  • Create and maintain spreadsheets for reporting lab test results and analytics under direction of the QC Laboratory Manager.
  • Create and maintain physical and electronic filing of lab and plant records.
  • Maintain Environmental Trending and tracking records for pathogen swabbing throughout the plant for auditing and critical sanitation control records.
  • Maintain NYS Agriculture and Market Inspection sample collection records, results and schedules.
  • Create laboratory specification charts and quick references when directed by QC Laboratory Manager.
  • Periodically Archive laboratory records for offsite storage.
  • Compose letters and emails to communicate on behalf of laboratory operations as directed.
  • Format and maintain Laboratory’s Standard Operating Procedures as directed by the Sr. Manager of Quality Assurance, QC Laboratory Manager, and Quality Compliance Supervisor.
  • Maintain the Lab SOP Index and hyperlinks through Corporate Policies database.
  • Maintain the Laboratory chemical MSDS online database and laboratory index.
  • Regularly attend plant GMP and Food Safety audits, attend and participate in the company HACCP program and Quality meetings.
  • Obtain relevant certifications and training for Hazard Analysis and Critical Control Points (HACCP) and other regulatory compliance demands.
  • Maintain outside lab services catalogs and accreditations.
  • Order office, shipping, and copier supplies and services when needed.
  • Work with Customer Service and Sales reps and managers to achieve customer sample needs.
