About The Position

At Four Seasons Nashville , the Purchasing Clerk supports the Director of Purchasing by overseeing the day-to-day operations of the Purchasing Department. This role ensures that all goods and supplies are received accurately, stored appropriately, and processed efficiently to support hotel operations.

Requirements

  • High school diploma or equivalent experience.
  • At least one year of full-time experience in a similar hospitality purchasing or inventory role.
  • High level of integrity and ethical approach to all business activities.
  • Strong interpersonal and relationship-building skills to work with cross-functional teams, vendors, contractors, and delivery personnel.
  • Proactive, energetic, organized, and detail-oriented.

Responsibilities

  • Check all incoming goods against delivery orders, invoices, food specifications, and purchase records to ensure correct type, amount, price, and quality.
  • Update daily receiving in the Purchasing/Inventory system and generate timely Daily Receiving Reports for food, beverage, and non-food items.
  • Ensure all goods are delivered to the correct storage areas and maintain high standards of business integrity with vendors and delivery personnel.
  • Inspect the physical condition, quality, and quantity of all items at receipt, including checking food quality, shelf life, and temperature compliance.
  • Coordinate with vendors, staff, and other departments to manage deliveries, returns, and discrepancies seamlessly.
  • Assist with monthly, quarterly, and annual inventories of food, beverage, operating equipment, and supplies.
  • Maintain secure, clean, and organized loading dock and receiving areas.
  • Update electronic purchase orders and post invoices in Inventory and Accounts Payable systems.
  • Support the Director of Purchasing in any additional duties, including assisting Accounts Payable with invoice discrepancies and participating in operating equipment inventories.
