About The Position

The Purchasing Assistant will be responsible for the effective sourcing and purchasing of MRO and service orders to support site needs. This position will process purchase requisitions for items and services, follow up with suppliers and/or providers, maintain updated arrival dates for purchased items, and negotiate quotes for items and services as required.

Requirements

  • High school diploma or equivalent; bachelor's degree preferred
  • 1-2 years’ administrative experience required.; prior purchasing experience preferred.
  • ERP and inventory management software experience preferred.
  • Skilled in general PC operation/navigation and application-specific experience including SharePoint and Microsoft Office 365 applications (MS Excel, Access, Word, PowerPoint).
  • Ability to use search engines to initiate supplier identification.
  • Ability to read, analyze, and interpret information, write reports, business correspondence, and procedures.
  • Ability to work independently and handle multiple projects simultaneously.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to solve practical problems and deal with a variety of concrete variables; interpret a variety of instructions in multiple formats.
  • Identifies and resolves problems in a timely manner; gathers and analyzes information skillfully; develops alternative solutions; works well in group problem solving situations; uses reason even when dealing with emotional topics.

Responsibilities

  • Receive and circulate purchase requisitions for approval based on established criteria.
  • Conduct research to identify suppliers who can provide the best quality items/services at the best prices within required timeframes.
  • Request quotes as required.
  • Process purchase requisitions into purchase orders.
  • Send purchase orders to suppliers and receive order confirmations to ensure acceptance.
  • Follow up with suppliers as necessary to ensure that requirements are met.
  • Track orders through arrival.
  • Update ERP with order details, maintaining accurate ship and arrival dates.
  • Maintain purchase records for reporting purposes as instructed.
  • Provide updates on purchase orders to stakeholders as requested or required.
  • Proactively work with other departments to ensure needs are met.
  • Perform other tasks as assigned by Manager.
