About The Position

MSD is looking for a Purchase Order Specialist to join our team! The Purchase Order Specialist plays a critical role in supporting the service order billing process by creating, updating, and managing purchase orders with precision and accuracy, ensuring every entry is properly documented and verified. This position partners closely with the Service team to maintain clean, up-to-date inventory records for client work, warehouses, and service trucks, helping operations run smoothly. The core focus of the role is documenting all purchases and tracking all truck inventory counts. In addition, the Purchase Order Specialist coordinates cross-functionally with internal departments to ensure the right materials, goods, and services are ordered, received, and recorded correctly, while consistently supporting the company’s quality standards through a strong customer service mindset and a commitment to meeting internal and external customer needs 100% of the time. The Purchase Order Specialist is responsible for creating and updating accurate purchase orders and maintaining inventory records for service work, warehouses, and service trucks to support the billing process. This role documents purchases and truck inventory counts, researches vendors and pricing, and coordinates with internal teams to ensure materials and services are ordered and received correctly while delivering high-quality customer support.

Requirements

  • High School diploma/GED
  • Experience working in the Trades field or exposure preferred
  • Some accounting experience preferred
  • Strong personal organizational skills and attention to details.
  • Meticulous approach to reviewing documents.
  • Analytical & Research Skills: Proven ability to define problems, collect data, establish facts, and draw valid conclusions to resolve invoice and delivery discrepancies.
  • Working knowledge of computers and productivity software, including but not limited to Microsoft Office products and purchasing software).
  • Ability to clearly communicate in spoken and written English required.
  • US Citizenship or Permanent Resident status required

Responsibilities

  • Research vendors and secure pricing for purchasing
  • Coordinate with departments to ensure material, goods, and service are received
  • Document all purchases and maintain accurate inventory records
  • Track and manage truck inventory counts
  • Partner with technicians and service team to clarify needs and schedule inventory
  • Build and maintain strong relationships with suppliers
  • Receive, log, and distribute purchase orders and deliveries
  • Approve invoices and resolve shipment or supplier issues
  • Prepare and submit inventory reports and metrics
