Looking for an experienced multi-family property manager to run leasing and office aspects of the community. Major duties include: 1) Financial Responsibilities Ensure that monthly rent is collected on time and report all revenue from rent collection and all outstanding debts. Oversee collection activities, attend legal proceedings as required, and manage collection agencies to optimize debt payments. Support Regional Manager as required for purchases and business agreements for equipment, services and supplies for the apartment community. Help Regional Manager develop rental strategies and budgets as required. Write financial reports, suggest ways to lower expenditures and maximize revenues 2) Leasing and Marketing Maintain and modify marketing strategy for property. Trains and oversees the Leasing Agents to ensure their effective role execution: Prospecting/selling of property’s products and services to prospects. Developing/maintaining protocols and processes from phone calls, visits, customer relations, etc. Ensure accurate execution of lease agreements, application documents, etc. and proper input into system and filing. Maintain thorough product knowledge of the property, sister properties and competitors. Complete market analysis quarterly to optimize our pricing and educate team on competitor offerings and how to cross-sell Continuously research best practices and new methodologies to improve customer satisfaction, reduce waste, etc. Always ensures a positive move-in experience for new resident Partners with Maintenance Supervisor to make sure vacant unit is turned, clean, fresh and welcoming. Oversees Leasing Agents to give 1-on-1 service, welcome packets, and follow-ups to make sure the new resident is overwhelmed with how happy we are to have them here. 3) Resident Relations Serve as liaison between residents and management company. Manage and resolve resident concerns Enforces community rules that tenants must follow. Entails identifying problems proactively and handling complaints from tenants, such as noise complaints, parking issues, disturbances between tenants, damaged blinds, etc. Contacting tenants about noncompliance and provide verbal and written requests, citing the lease agreement, for compliance. These requests should cite the provisions of the lease agreement. Oversee office for maintenance issues. Ensure proper screening and record incoming work orders and constantly communicate with Maintenance Supervisor to ensure prioritization as required, plus that resident follow up with work orders is complete to ensure complete satisfaction Develop and maintain first class customer service relationships with prospects and residents. Ensure office visits and interactions with office personnel are very positive experiences. Partnering with Maintenance Supervisor to complete move-in and move-out inspections, complete security deposit assessment, and manage refunds/bills for damages. 4) Administrative Owns property documents to ensure accuracy, consistency, appearance, and revision control. This includes all resident facing documents from prospect to applicant to lease holder to resident, such as applications, leases, inspection sheets, memos, violations, etc. Oversee community newsletter to go out at least quarterly. Owns the property file rooms – both paper and electronic to ensure 100% accuracy and quick/reliable retrieval as required. Ensures office is maintained, equipment working, and supplies on hand. Partnering with Maintenance Supervisor and Courtesy Officer (as required) as a Risk Manager to ensure the safety and well-being of our residents and property. This would include but not be limited to routine property inspections to look for safety hazards and potential criminal activity. Oversees housekeeping to ensure: Office and laundry room are cleaned/maintained daily Hallways are cleaned weekly and spot checked regularly Units are ready for move-ins Oversees pool attendants: Recruits and hires pool attendants for season Develops and maintains work schedules and ensures attendance Ensures proper training of role and role execution With input from Property Manager and Maintenance Supervisor, complete employee performance evaluations, conduct corrective counseling needs, etc. Assist in recruiting and evaluating potential new hires.
