About The Position

JP Management is seeking a Property Administrator to provide administrative and operational support to our Property Manager, onsite at our Hackensack HQ. This is an excellent opportunity for someone who is organized, detail-oriented, and interested in the property management industry.

Requirements

  • Customer-service oriented; prior work experience in, guest services, front desk, customer service or property management industry.
  • Excellent communication skills (verbal and written).
  • Bilingual (English/Spanish) required.
  • Proficient in Microsoft Office Suite.
  • Strong time management and analytical skills.
  • Ability to work independently and interact with prospective tenants, property managers, co-workers, management and vendors.
  • Experience working in a fast-paced environment.
  • Valid driver’s license and own reliable transport.

Responsibilities

  • Serve as the primary point of contact for tenants, handling a high volume of incoming phone calls, walk-ins, and emails daily.
  • Coordinate maintenance requests and vendor scheduling.
  • Provide excellent front-desk customer service, ensuring tenants receive prompt assistance with inquiries regarding billing, payments, and account status.
  • Handle all incoming and outgoing mail.
  • Assist with tenant retention efforts by gathering feedback on the move-in/move-out process and addressing tenant concerns.
  • Immediately record all telephone, email, social media, text, and in-person visits in property management platforms.
  • Ensure apartments are ready for residents to move-in on agreed date.
  • Organize and analyze site data to assist Property Manager in site operations and budgeting.
  • Create Calendar reminders for Housing Inspections & State inspections, as needed.
  • Prepare and maintain property records, reports, and documentation.
  • Coordinate maintenance requests and vendor scheduling.
  • Support leasing activities, including application processing and file management.
  • Ensure compliance with company policies and procedures.
  • Document and provide prospective feedback to property managers to address unit complaints or concerns during tours.
  • Solicit Google Reviews from prospective and current tenants at the property.
  • Other duties as assigned by management.
