Job Description: Provide full-time on-site project support to the Balloon Program Office (Code 820) and Small Satellite and Special Programs Office (Code 850) at NASA Wallops Flight Facility.

Requirements

  • Exceptional customer service skills, with a proactive, solutions-oriented approach and the ability to anticipate needs and identify opportunities for improvement.
  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job. Some travel may be required.
  • Bachelor’s degree and 3-4+ years of related professional experience or 7+ years of related professional experience in lieu of degree.

Responsibilities

  • Database Maintenance for Grants: Data Entry and maintenance for the SMD Portfolio Database. This includes periodic entry of data from portfolio reports. Maintenance ensures that files are well structured and efficiently stored. Serves as the Record Liaison Officer for the office and ensures that records are being appropriately handled per federal laws and regulations. Stays current on training for use of the program database systems to assist others when used.
  • Calendar, Scheduling & Administrative Support Coordinate and monitor program business schedules, including staff meetings and recurring program meetings with external customers. Support internal data calls, including scheduling, coordination, and follow-up. Compile and support the timely submission of weekly and monthly program reports. Edit and proofread correspondence, reports, letters, and memos for compliance with NASA GSFC formatting and policy standards. Log, route, and track correspondence for review and signature. Coordinate submission of papers, presentations, publications, and outreach materials for public release approval. Process NASA Scientific and Technical Information (STI) Document Availability Authorization (DAA) (NASA Form 1676B) and GSFC STI Public Disclosure Export Control Checklist (GSFC 25-49). Ensure compliance with STI, DAA, and Export Control requirements for all publicly released materials.
  • Meeting & Event Support Prepare for meetings by ensuring required documents, reports, and materials are submitted on time and readily accessible. Take meeting notes and capture action items during meetings and program events. Coordinate program-led meetings and events, including logistics, materials, and on-site support. Arrange printing of materials and ordering of models or displays for office use and events. May travel to support program-led events, as required.
  • Travel & Conference Coordination Track and manage program conference travel, including submission of civil servant and contractor information for approval. Coordinate approvals through WFF management and ensure required documentation is submitted and attached in the NASA Conference Tracking System. Support directorate travel approvals and data entry in the official travel system.
  • Property Custodian Maintain office supply inventory and manage the office supply budget using the AMMS (Store Stock) system. Order and manage IT and office resources, including printer toner and paper. Serve as, or support, the program property custodian to ensure proper tracking and tagging of government property. Coordinate shipment of hardware, including drafting shipping documentation, arranging delivery, and tracking shipments.
  • Visitor Access & Badging Process domestic and international visitor badge requests through MOSI and IDMAX systems. Coordinate foreign national visitor requests in compliance with agency procedures.
