About The Position

Agilix Solutions is seeking a Project Support Specialist for our Lenexa, KS branch. This position will be responsible for managing the day-to-day tasks of a project, from planning to execution, for all projects, which include Gear, Lighting, Clean Energy, and Commodities. This role will report to the Operations Manager of Lenexa.

  • Proficiency with Microsoft Office applications, particularly Excel.
  • Experience working within ERP systems to research, enter, or update data.
  • Minimum of three years of customer service or related experience.

Responsibilities

  • Prepare and maintain reports, invoices, and status updates for large contractor projects, ensuring accuracy and timely communication.
  • Process and update purchase orders, coordinating closely with internal teams and vendors.
  • Provide reporting support to Warehouse, Purchasing, and Accounting teams by compiling commodity reports, Will Call reports, sales error summaries, and purchase order updates.
  • Manage customer stock returns, vendor returns, and lighting damage/defective replacements, ensuring proper documentation and follow‑through.
  • Resolve invoice issues, debit memos, and pricing discrepancies by researching details and collaborating with Accounting and Sales.
  • Track shipments, expedite orders when necessary, and file freight claims to support on‑time delivery and issue resolution.
  • Support product availability updates and coordinate lighting and gear storage, releases, and documentation.
  • Create and maintain lighting and gear order status sheets to provide project visibility for internal and external stakeholders.
  • Assist with project management for large contractor jobs by coordinating information, updates, and required documentation.
  • Manage direct order storage documentation, including packing slip organization, and assist with pulling, packing, and shipping material when needed.
  • Serve as emergency switchboard backup and assist with processing backorder releases.
  • Prepare dray tickets as required and support credit memo resolutions.
  • Assist Account Managers with vendor relations, project visits, and follow‑up activities.
  • Submit and track RGA requests, update bid board, and support logistics functions including freight credits and tracking.
  • Process credits, rebills, and monthly/annual reports.
  • Coordinate delivery method changes and assist with returns.
  • Monitor and resolve Will Call orders older than 30 days and manage wire reel order tracking.
  • Assist with Project Solutions Group quotes and orders.
