About The Position

Chimney Cricket is a full-service chimney, fireplace, and hearth company serving homeowners throughout the greater Philadelphia region. We specialize in inspection, service, restoration, installation, and masonry repair. We are looking for a highly organized Project Operations Coordinator (POC) to help keep projects moving efficiently from approval through completion. Once a project is approved, this role helps guide it through scheduling, material coordination, documentation, and customer communication. The POC works closely with the Operations Manager and field technicians to ensure projects are organized, prepared, and executed smoothly. Responsibilities

  • Manage project workflow from sales approval through completion
  • Coordinate project scheduling (inc project readiness and deposit collection)
  • Communicate project details/updates between sales, customers, and field teams
  • Track project progress and identify potential coordination issues
  • Verify materials lists and delivery times to support project staging
  • Site visitation to ensure quality outcomes, customer satisfaction, and positive team morale
  • Review technician paperwork and job documentation
  • Monitor technician timesheets related to projects
  • Ensure project documentation is complete and organized
  • Assist with project closeout and coordination with billing
  • Maintain company safety documentation and records, including incident reports and OSHA logs
  • Coordinate safety meetings, training sessions, and toolbox talks
  • Track technician safety certifications and training requirements
  • Maintain safety documentation such as SDS binders and equipment records
  • Assist with incident documentation and coordination with safety consultants when needed
  • Order materials, venting, equipment, and specialty components
  • Coordinate with vendors and suppliers
  • Track purchase orders and delivery timelines
  • Verify order accuracy and maintain purchasing documentation
  • Assist with receiving deliveries and checking materials
  • Help maintain warehouse organization
  • Assist with inventory tracking and reordering of common materials
  • Verify materials lists to support project staging
