About The Position

This Project Manager role is part of the Operations department and focuses on supporting the delivery of contracted work through strong project structure, tracking, and resource coordination. The Project Manager is responsible for reviewing executed contracts and internal initiatives and translating them into clearly defined, trackable projects within Theiagen’s operational systems (e.g., Notion, Monday.com, TMetric). This includes defining work types, milestones, timelines, and tracking structures and handing off fully structured projects to technical team Leads for execution. In addition to supporting contracted work, this role contributes to developing and maintaining standardized project management frameworks that can be applied consistently across the company. The PM does not own technical decision-making, scientific direction, or client relationships, but instead ensures that projects are properly structured, visible, and supported from an operational standpoint.

Requirements

  • Bachelor’s degree in a relevant field (e.g., biology, bioinformatics, public health, project management, or related discipline).
  • 3–5+ years of experience in operations-focused project or program management roles.
  • Experience translating scoped or contracted work into structured tracking systems.
  • Excellent organizational, problem-solving, and communication skills.
  • Ability to coordinate diverse teams and manage multiple concurrent projects in a fast-paced environment.
  • Experience with project and work-tracking tools ( e.g. , Notion, Monday.com, TMetric, Smartsheet, Asana, Jira).

Nice To Haves

  • Master’s degree or PMP/Prince2 certification.
  • Experience in genomics, bioinformatics, or public health data projects.
  • Familiarity with government or academic project processes (e.g., CDC, NIH, or state health departments).
  • Knowledge of contract deliverables management and reporting requirements.

Responsibilities

  • Contract/Project Intake & Setup Review contracts, statements of work, and internal initiatives to extract and structure defined deliverables, work types, milestones, timelines, and dependencies.
  • Ensure all contracted work is accurately set up in operational tracking systems (Notion, Monday.com, TMetric, and related tools).
  • Partner with Operations leadership and Technical Team Leads to validate scope, assumptions, and tracking requirements prior to execution.
  • Prepare projects for handoff by establishing clear structure, documentation, and tracking expectations.
  • Develop and maintain project structures, tracking dashboards, and reporting views that provide visibility into scope, timeline, and progress in support of Technical Team Leads’ execution.
  • Hand off structured projects to Technical Team Leads, who retain ownership of execution, technical decisions, and delivery.
  • Maintain project documentation, timelines, and status updates for internal visibility.
  • Coordinate internal project meetings as needed to support alignment and clarity.
  • Track personnel assignments and time allocation across projects to support company-wide visibility into resource usage.
  • Identify potential capacity constraints, over-allocation, or upcoming staffing needs and surface them to Operations leadership.
  • Support coordination of shared resources across teams as needed.
  • Monitor burn versus scope to help identify delivery risks early.
  • Develop, document, and maintain standardized project intake, setup, and tracking processes used across the company.
  • Promote consistent project management practices while respecting Technical Team Leads’ ownership of execution and technical direction.
  • Contribute to continuous improvement of tools, templates, and workflows that support scalability.
  • Support internal operational initiatives by providing planning, structure, and tracking.
  • Track project progress against scope, timelines, and burn rate using established tools.
  • Prepare internal status reports and summaries for Operations and Leadership.
  • Identify recurring issues or inefficiencies and recommend process improvements.
  • Document lessons learned and support structured retrospectives.
