Requirements

  • Bachelor's Degree preferred
  • 5 years of experience; construction office experience preferred
  • Proficient in MS Office, SharePoint, and Procore
  • Broad understanding of the construction industry
  • Ability to prioritize, organize and manage time
  • Critical thinking skills and problem solving abilities
  • Ability to multi-task
  • Dependability
  • Excellent oral and written communication skills

Nice To Haves

  • LEED GA or LEED AP credentials a plus

Responsibilities

  • Creates, maintains and manages a Projects Closeout Documents System, Procore, Walsh Works or other system for the recording of all documents to meet project requirements and procedures.
  • Manages parameters, ensuring all files are appropriately allocated and searchable.
  • Ensures employees are notified of errors needing correction.
  • Maintains communication with Owner on aspects of system.
  • Manages system access, evaluating requests and ensuring appropriate levels of access are granted on a case-by-case basis.
  • Develops and maintains procedures and standards for maintaining documents and change of control of documents, including document development, approval, production, distribution and amendment.
  • Plans and directs document and content management life cycles and may work with either structured or unstructured metadata
  • Manage timely submission of RFI’s and submittals internally and externally.
  • Maintain good relationships and communication with owner and subs/suppliers on all items for submittal.
  • Works closely with Project Management on all aspects of project schedule
  • Manages employees responsible for submitting project documents and reports. This includes reminders to appropriate employees (such as Project Engineers and Asst Project Managers).
  • Submits notices of overdue items in writing; works with the SPM to rectify the situation. This may include email correspondence, in-person meetings between the need to know persons, and review of the set expectations for the item at hand with employees in question
  • Responsible for training and mentoring Project Document Control Specialists and Admin
