About The Position

As a Project Data Administrator at California Trout, you will play a key role in supporting the planning, execution, and monitoring of our conservation projects. You will work closely with project managers, field staff, and stakeholders to ensure that projects are completed on time, within scope, and on budget. Your coordination efforts will help drive the success of our initiatives aimed at protecting and restoring aquatic ecosystems.

Requirements

  • Bachelor’s degree in computer science, environmental science, natural resource management, project management, or a related field.
  • Previous experience in project coordination, preferably in data management or a related sector.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
  • Proficiency in Microsoft Office Suite and project management software (e.g., Microsoft Project, Asana, or Trello).
  • Attention to detail and a commitment to accuracy in data management and reporting.
  • Passion for environmental conservation and commitment to California Trout’s mission.

Nice To Haves

  • Knowledge of environmental regulations and conservation practices is desirable.

Responsibilities

  • Assist project managers in developing detailed project plans, including timelines, budgets, and resource allocation.
  • Coordinate project activities, ensuring that tasks are completed according to the project schedule.
  • Help prepare project documentation, such as proposals, reports, and presentations.
  • Collect, organize, and maintain project data, ensuring accuracy and completeness.
  • Review and manage SONAR fish counting station data.
  • Work collaboratively with partners in using AI/Machine learning models.
  • Assist in preparing project reports, presentations, and other documentation for internal and external audiences.
  • Support grant reporting efforts by compiling relevant data and narratives.
  • Organize logistics for project activities, including field surveys, habitat restoration efforts, and community outreach events.
  • Arrange travel, accommodations, and equipment procurement for project staff and stakeholders.
  • Maintain and manage project inventory, ensuring necessary materials and supplies are available.
  • Facilitate communication between project team members, stakeholders, and external partners.
  • Provide regular updates on project progress to project managers and other stakeholders.
  • Assist in organizing and coordinating meetings, workshops, and public events related to project activities.
  • Assist in monitoring project budgets, tracking expenses, and ensuring financial compliance.
  • Process invoices, expense reports, and reimbursement requests in a timely manner.
  • Help prepare financial reports and documentation for grant applications and progress reports.
  • Ensure project activities comply with relevant regulations, organizational policies, and best practices.
  • Assist in conducting quality assurance checks on project deliverables.
  • Support the development and implementation of project protocols and procedures.
  • Provide support to field staff during project implementation, including assisting with fieldwork, data collection, and monitoring activities.
  • Participate in field surveys, habitat restoration efforts, and other project-related activities as needed.
  • Ensure adherence to safety protocols and environmental regulations during field operations.
