The Project Coordinator is an entry-level position within the Project Management team responsible for supporting the planning, coordination, and execution of projects and events. This role provides administrative and operational support to Project Managers and collaborates with cross-functional teams, including Sales, Solutions Group, Design, Manufacturing, and Logistics, to ensure projects are delivered in accordance with established timelines, scope, and quality standards. The Project Coordinator assists in all phases of the project lifecycle, including planning, documentation, execution, monitoring, and closeout.

Requirements

  • Basic knowledge of project management principles and methodologies.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Effective written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to analyze information, identify issues, and support problem resolution.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Ability to work independently as well as collaboratively within a team environment.
  • Professional demeanor with the ability to interact effectively with internal and external stakeholders.
  • Travel may be required based on business needs.
  • Must be able to work a flexible schedule, including evenings, weekends, and holidays, as necessary to meet business and client demands.
  • High school diploma or equivalent required.

Nice To Haves

  • Familiarity with project management and ERP systems (e.g., CoreBridge, Smartsheet, or similar platforms) preferred.
  • Knowledge of print production, fabrication processes, and installation practices is desirable but not required.
  • Bachelor’s degree in Project Management, Business Administration, or a related field preferred.
  • One (1) year of experience in an administrative, project coordination, or related support role preferred.
  • Experience in project management, live events, production, or manufacturing environments is a plus.

Responsibilities

  • Assist in the development and maintenance of project plans, schedules, and timelines under the direction of Project Managers.
  • Coordinate project-related activities, including scheduling meetings, preparing agendas, and documenting meeting minutes and action items.
  • Serve as a point of contact for internal teams and external stakeholders to facilitate communication and ensure alignment on project requirements and deliverables.
  • Maintain accurate and organized project documentation, including project plans, schedules, survey data, templates, and change order records.
  • Support the coordination and execution of projects, events, and one-off job requests.
  • Assist in reviewing project specifications, design files, and production requirements to support successful execution.
  • Coordinate with vendors, partners, and subcontractors to support project and event execution, including onsite activities as needed.
  • Monitor and track project progress and provide updates to Project Managers as required.
  • Support quality assurance efforts to ensure compliance with organizational standards, processes, and client expectations.
  • Assist with site surveys and the collection and organization of field data, as applicable.
  • Utilize project management and operational systems to track, update, and report on project activities.
  • Contribute to process improvement initiatives and support the implementation of best practices and standardized workflows.
  • Perform other duties as assigned to support departmental and organizational objectives.
