About The Position

Project Coordinator Avanceon is looking to hire a full-time Project Coordinator to join our PMO. The Project Coordinator is an internal role that provides administrative services to Project Managers, Business Units, and the PMO. This position is hybrid. Candidates can work remotely but are required to work 2 days per week in Avanceon' s Exton, PA HQ. Office days are typically scheduled and fixed, but flexibility to occasionally shift office days and/or work an additional day in the office is required.

Requirements

  • 2-5 years working in a professional environment providing administrative and/or coordination services to multiple people or groups
  • Excellent organizational and computer skills
  • Ability to prioritize a high-volume workload and deliver with quality
  • Enjoys completing tasks that help others be successful
  • Is proactive and takes initiative and ownership
  • Ability to work in the Exton, PA office a minimum of 2x per week

Responsibilities

  • Set up and close projects in internal systems such as SAP and SharePoint
  • Support the creation and submittal of monthly invoices to customers
  • Schedule internal and customer meetings; attend to take meeting minutes upon request
  • Update and maintain the resource allocation tool
  • Collaborate with Project Leaders to ensure compliance with the project execution process (kickoff meetings are conducted, status reports are distributed, project approval emails are logged, etc.)
  • Participate in PMO meetings and assignments, and contribute to process improvement
  • Provide misc. administrative support, such as entering/tracking down timesheets on behalf of others, investigating data issues and completing resolutions based on direction from others, training co-workers on tools and processes, creating and maintaining process checklists, and completing customer-required invoicing documentation
