About The Position

We are seeking a highly organized and detail-oriented Project Coordinator to support our Project Management team. This role is critical to ensuring projects run smoothly from start to finish by assisting with coordination, documentation, scheduling, and communication across teams. The ideal candidate is a proactive self-starter who thrives in a fast-paced environment and enjoys juggling multiple projects. Requirements

  • Strong problem-solving skills and ability to manage multiple priorities
  • Ability to remain professional and composed in high-pressure situations
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and general computer applications

Nice To Haves

  • Basic understanding of project coordination, cost tracking, or estimating is a plus
  • Experience in construction, electrical, HVAC, or building systems industries preferred

Responsibilities

  • Assist with obtaining electrical and low-voltage permits in accordance with jurisdictional requirements
  • Coordinate material takeoffs from field teams and communicate with vendors for pricing and procurement
  • Work with Project Managers to gather equipment lists and secure competitive pricing
  • Request and compile installation, operation, and maintenance manuals for project equipment
  • Maintain organized electronic job folders, including scanning and uploading documentation
  • Prepare project closeout packages including O&Ms, as-builts, warranties, startup documentation, and reports
  • Support project billing processes following Project Manager approval
  • Develop and maintain weekly team schedules based on input from Project Managers
  • Provide general administrative and project support as needed
  • Perform additional duties as assigned
