About The Position

This opportunity entails supporting technical staff by performing a variety of project-related coordination, tracking, and administrative duties. The main responsibilities include real-time tracking of bus maintenance parts inventory, placing orders, tracking shipments, managing storage, and coordinating with vendors and internal MTA staff to keep the inventory up to date for all necessary maintenance activities, ensuring buses meet MTA maintenance and replacement cycle requirements. The position will function as a staff-augmentation role providing hands-on operational support to our client directly at their site. The role involves performing real-time inventory tracking and management of bus operations assets, ensuring all critical parts, supplies, and materials are properly stocked, accounted for, and replenished in a timely manner to prevent any operational delays or interruptions. Additional responsibilities include providing support on bus operations-related tasks and projects as directed by the Project Manager, including coordination with field staff, compliance oversight, and business process support. The position will assist with the preparation and maintenance of project documentation, reports, and status updates as needed to support ongoing operations and management visibility

Requirements

  • Bachelor’s Degree, or Associate’s degree and 2 years of relevant experience, or In lieu of education, 4 years of relevant experience
  • Real-time tracking of bus maintenance parts inventory
  • Place orders, track shipments, manage storage, and coordinate with vendors & internal staff to keep the inventory up to date for all necessary maintenance activities
  • Ensure buses meet client maintenance and replacement cycle requirements

Responsibilities

  • Prepares and maintains project plans, tracks project progress, and prepares reports for clients or project stakeholders including evaluation scores, and deliverable tracking of submittals and reviews.
  • Monitors and evaluates project timeline and activity and delivers updates to protect team.
  • Assists in the management, maintenance, and distribution of project schedules in applicable software.
  • Monitors, tracks, and files large amounts of project documentation.
  • Uploads and downloads deliverable documents to and from client systems.
  • Copies and/or scans project-related documents and coordinates the distribution to internal and external stakeholders.
  • Supports the project and/or office quality plan and quality management system by documenting the performance of management and quality control reviews.
  • Generates and updates the relevant QA/QC documentation and assists with the development and maintenance of the project filing structure.
  • Coordinates project meetings including calendar scheduling, preparing or creating materials, publishing minutes, and maintaining documentation.
  • Communicates basic issues, problems, or additional information to project managers and project stakeholders.
  • Performs other duties as assigned.
