Position Overview We are seeking a detail-oriented and proactive Project Coordinator to support our teams in providing outstanding service to our clients. The Project Coordinator plays a critical role in supporting the Restoration department by managing schedules, updating project tracking systems, and ensuring smooth communication between field teams, estimators, and clients. This individual will be a key liaison internally and externally, keeping projects on track and clients informed every step of the way.

Requirements

  • Proven administrative or coordination experience (2+ years preferred)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proficiency with Microsoft Office Suite, CRM, and ERP systems
  • Detail-oriented with the ability to juggle multiple priorities
  • A proactive communicator and problem-solver
  • Comfortable working in a fast-paced, team-oriented environment
  • Passionate about delivering excellent customer service

Nice To Haves

  • Familiarity with restoration, construction, or property management industries preferred
  • Property Management or Restoration experience is a plus

Responsibilities

  • Schedule and dispatch the Mitigation and Carpentry teams for restoration projects
  • Ensure calendar accuracy and project readiness through close coordination with supervisors
  • Assist Estimators and Mitigation Supervisors with estimate follow-ups and documentation needs
  • Keep the WIP (Work-In-Progress) spreadsheet current and accurately maintained
  • Enter and maintain client and project information in CRM and ERP systems
  • Serve as a reliable point of contact for client updates, schedule confirmations, and follow-ups
  • Ensure timely and professional communication throughout the lifecycle of each project
  • Work closely with other departments to support project goals and delivery timelines
  • Maintain project files, correspondence, and administrative documentation as needed
