About The Position

Vivant is seeking an experienced Project Coordinator to own the end-to-end coordination of commercial telecom projects. This role is responsible for driving projects from signed agreement through installation, port completion, carrier disconnects, and clean handoff to billing and support—without requiring constant direction. This is an ownership role, not task execution. What This Role Is NOT Not a reactive ticket-only role Not a handoff-based coordinator position Not a role that waits for instructions at every step Not residential telecom or call-center support

Requirements

  • 2+ years of experience in commercial telecom (not residential)
  • Direct experience working with ISPs: AT&T, Verizon, Spectrum, Comcast, Cox
  • Strong understanding of number porting (LOA, FOC, rejections, partial ports)
  • Experience coordinating across sales, install, support, and billing
  • Professional, well-mannered, highly organized, and self-motivated
  • Demonstrated sense of urgency and bias for action
  • Strong verbal and written communication skills
  • Reliable phone and internet connectivity
  • Problem solver who can think beyond scripts and checklists
  • EXTREMELY well organized & punctual
  • Multitasking abilities are a must

Responsibilities

  • Work directly with Sales, Support, and Accounting to gather and verify client information
  • Call prior carriers to confirm contract status, obligations, and disconnect requirements
  • Document all findings accurately in Utiliko
  • Identify risks before contracts are signed and flag issues early
  • Serve as the central liaison between internal teams, carriers, vendors, and the client
  • Conduct onboarding with new clients
  • Attend sales KT meetings and translate requirements into action
  • Ensure parts are ordered, installs scheduled, ports submitted, and timelines tracked
  • Proactively manage client expectations when timelines change
  • Push carriers and vendors to meet commitments
  • Make independent decisions to keep projects moving forward, escalating only when appropriate
  • Confirm successful installs and completed ports
  • Coordinate the disconnection of legacy services
  • Ensure billing setup is completed correctly in Utiliko
  • Identify and collect past-due balances when applicable
  • Create and route support tickets with clear documentation
  • Maintain complete, accurate project documentation
  • If it’s not documented in Utiliko, it’s considered not done
  • Create SOPs, workflows, and training videos
  • Continously improve processes to reduce friction for clients and internal teams
