Job Summary The Project Coordinator is a key member of our Operations team, working closely with all departments to support project staffing, daily field operations, timecard coordination, material ordering, and administrative support. This role is ideal for someone with construction experience who thrives in a collaborative, fast-paced environment, enjoys staying organized, and takes pride in keeping projects—and people—moving forward. This position supports plays a critical role in manpower scheduling, timecard review, safety compliance, material coordination, field support, and new-hire orientation for our flooring and fireproofing, with some jobsite visits as needed to assist with coordination and operational support.

Requirements

  • Construction industry experience required (fireproofing and/or flooring experience strongly preferred)
  • Experience with timecards
  • Strong organizational skills with excellent attention to detail
  • Collaborative team player with a positive, solution-oriented mindset
  • Comfortable juggling multiple priorities in a fast-moving environment
  • Strong follow-through and accountability
  • Proficient with Microsoft Outlook, Word, and Excel
  • Able to communicate professionally, follow instructions, and provide direction when needed
  • Punctual, reliable, and consistent attendance
  • Valid driver’s license with a clean driving record
  • Ability to read, write, and speak English
  • Authorized to work in the U.S.
  • OSHA 10 required; OSHA 30 preferred or willingness to obtain
  • High school diploma preferred; however, experience, skills, and cultural fit are most important.

Responsibilities

  • Distribute and track field budget reports
  • Assist with job books and project documentation
  • Collect, prepare, and organize project handoff information
  • Order, track, and manage specialty materials and products
  • Schedule and coordinate project handoff meetings
  • Coordinate safety site visits through CRM systems
  • Assist with employee clearance, badging, and site access
  • Maintain active lists of Painters, Flooring Installers, and Fireproofing Sprayers
  • File and document site visit notes
  • Complete and maintain: Job Hazard Analysis (JHA) forms Competent Person forms Site-specific safety plans
  • Schedule field reviews and inspections
  • Track certifications and ensure field employee compliance
  • Host and coordinate Kaloutas Safety Orientation
  • Schedule and support field trainings as needed
  • Coordinate all travel logistics, hotel eligibility, and bookings
  • Coordinate and help run monthly safety meetings
  • Receive manpower requests and schedule crews accordingly
  • Communicate schedule updates and changes to field teams
  • Assist with manpower forecasting and hiring needs
  • Serve as the point person for scheduling software
  • Run company manpower meetings
  • Verify crew timecards in preparation for payroll
  • Communicate clearly and effectively with payroll and field employees
  • Order and distribute PPE
  • Provide support with field technology (iPads, timekeeping systems, Smartsheets, etc.)
  • Report product or material issues to Operations Managers or the Director of Operations
  • Perform occasional jobsite visits to support coordination and operations
