About The Position

The Onboarding Coordinator supports the Marketing and Sales Enablement team in Boise and plays a key role in delivering a smooth, engaging, and consistent experience for new hires joining the client. This role partners closely with HR, Talent Acquisition, hiring managers, and cross-functional teams to ensure every new employee feels welcomed, prepared, and connected to the client's collaborative culture.

Requirements

  • Bachelor's degree in Business Administration or a related discipline
  • 3 years of progressively responsible experience in a comparable role with a proven record of meeting deadlines and managing competing priorities.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Customer-service mindset with a collaborative approach.
  • High attention to detail and comfort with structured processes.
  • Microsoft Office Suite (Outlook, Word, Excel (intermediate to advanced PowerPoint exp).

Nice To Haves

  • Experience with LMS/CMS, CRM Productivity tools for reporting and metrics tracking nice to have.

Responsibilities

  • Onboarding Logistics & Coordination
  • Schedule and coordinate onboarding activities, including orientation sessions, department introductions, and training schedules.
  • Prepare and maintain onboarding materials that reflect the client's brand voice and values.
  • Manage onboarding calendars, track deadlines, and ensure all pre-start tasks are completed.
  • Coordinate with IT, Facilities, and Security to ensure equipment, access, and workspace readiness.
  • Support group onboarding sessions and virtual orientations for distributed teams.
  • Manage employee and client swag requests, including timely fulfillment and shipping.
  • New Hire Experience & Support
  • Serve as the primary point of contact for new hires, providing guidance, clarity, and a warm welcome aligned with the client's culture.
  • Provide new employees with essential resources, company information, and introductions to help them feel connected from day one.
  • Point of contact for resources completing required paperwork including benefits enrollment
  • Conduct early-tenure check-ins to gather feedback and ensure a smooth transition.
  • Act as a point of escalation for onboarding issues, ensuring timely resolution and a positive experience.
  • Pre-Hire & Cross-Functional Coordination
  • Collaborate with Sales Enablement to coordinate required training and ensure completion of learning modules.
  • Work closely with merchandising, media, analytics, and other cross-functional teams to help new hires understand the client's integrated approach to retail media.
  • Support the Marketing team as needed.
  • Pull reports to support leadership requests.
  • Program Development & Continuous Improvement
  • Contribute to the development and refinement of a comprehensive onboarding program that reflects the client's culture of innovation and partnership.
  • Identify opportunities to enhance the onboarding experience through improved processes, tools, and communication.
  • Maintain and update onboarding documentation, templates, and resources.
  • Track onboarding metrics, gather feedback, and provide insights to improve program effectiveness.
